Job Description

This position resides within the General Services (GS) unit of the Director s Office of Business and Financial Services Division and reports to the GS manager. This position will perform several functions necessary to support the agency s front desk, including greeting visitors, receiving, and navigating calls. In addition, this position will maintain multiple calendars for appointments, sort mail, and issue security badges. The position will support all General Services activities including fleet duties, mail room operations, front desk, and various special facility projects.

Skills Required

  • Establish plans and procedures for team activities;
  • Interpret policies and guidance related to the position;
  • Successfully negotiate and maintain interpersonal relations;
  • Research, analyze, and provide recommendations to solve problems;
  • Write and speak with clarity and effectiveness;
  • Communicate effectively with internal staff at all levels, other State agency staff, and vendors;
  • Multitask different projects and prioritize;
  • Work with others;
  • Work independently, organize, plan, and problem-solving.
  • Knowledge of or ability to learn and apply LEAN concepts, principles and tools used to create and deliver the most value from the customers perspective while consuming the fewest resources, and engaging people in continuous problem solving.

Skills Preferred

  • Proficiency with Google, Google Drive, and Microsoft Office products (Excel, Word, PowerPoint);
  • Organizing and maintaining records, electronic files, and databases;
  • Creating metrics and measuring the teams performance;
  • Scheduling appointments and maintaining calendars;
  • Excellent verbal and written communication;
  • Inventory tracking, analyzing, organizing;
  • Organizing office equipment and inventory;
  • Calendar management skills;
  • Active listening skills;
  • Interpersonal skills.

Experience Required

Three years of responsible administrative experience.

Education Preferred

  • Bachelors degree in a field appropriate to the assignment from an accredited college or university and two years responsible administrative experience;
  • or a Masters degree in a field appropriate to the assignment from an accredited college or university and one-year responsible administrative experience.
