Job Description

As a Manager Corporate Services, you will be directly responsible for liaising with different stakeholders within QAG to ensure all Procurement, Financial, HR, Administrative, Utilities Management, Contracts, Supply Chain, Asset and Stores Management, Corporate Space Management requirements for the Corporate Services Division are met. Additionally, provide administrative support to various Corporate Services sections including Transportation Management, Facilities Management Residential, Facilities Management Commercial, Property Management, Accommodation Management and Projects departments. Other key responsibilities are: • Oversee the Procurement process ensuring control mechanisms including, but not limited to, rigorous supplier evaluation, proper documentation, internal audits, clear policies and procedures and regular performance reviews. • Oversee the invoice verification and service delivery confirmation process, ensuring control mechanisms including, but not limited to, three-way matching (matching the purchase order, receipt, and invoice), segregation of duties to prevent fraud, thorough invoice review for accuracy, approval workflows, and reconciliation of discrepancies are in place to avoid any gaps. • Prepare the annual budget for the division and submit the same to finance with adequate supporting documentation as requested. • Establish relationship with key internal and external stakeholders and disseminate information relating to Corporate Services operations to senior management. • Analyze internal processes, recommend, and implement procedural or policy changes to improve operational performance. • Oversee the Utilities Management Team and ensure all documentation is complete for waste skips, Water & Electricity, Qatar Cool, District Cooling and Gas. • Ensure recharges are made to concerned stakeholders including but not limited to staff, other user departments, subsidiaries, tenants, etc. • Ensure timely payment is executed to Kahramaa, Qatar Cool, Landlords, etc. and resolve issues (if any) with regulatory bodies as necessary. • Assess, track, and identify key needs for Corporate Services operations to establish long term contracts including specification, acquisition, maintenance, and support requirements ensuring that contracts are capable of delivering results to support effective operations. • Ensure timely renewal of operational contracts to avoid any service disruption. • Review asset information, such as warranties, manufacturer warranties etc., conduct audit checks, make changes and tweaks to the asset data as and when required. • Oversee the Supply Chain process and ensure timely delivery is maintained through various established channels to have a flawless operation. Qualifications About You We are looking for a passionate and experienced professional to join the Team. • Bachelor’s Degree or Equivalent with Minimum 8 years of job-related experience • Good command of English language • Knowledge of principles and practices in Management of services, organizational planning and administration, and principled and practices of contract management. • Excellent project management skills with ability to delivery projects within tight timelines. • Resolve customer service issues with tact and diplomacy and ability to work with a broad and diverse internal and external customer base. • Excellent ability to analyze and interpret the needs of staff customers and offer appropriate solutions within the ambit of laid down guidelines. • Ability to communicate effectively both orally and writing. • Strong interpersonal and communication skill and the ability to work effectively with a range of communities / nationalities. • Detail oriented with ability to deliver outputs within limited time schedules • Managerial skills - Ability to delegate work, set clear direction and manage workflow.
