This is a remote position.

  • Rostering and Managing Shift Changes:
    • This involves creating schedules for shift workers considering their availability preferences and business needs.
    • Managing shift changes includes handling requests for timeoff swapping shifts and ensuring that the roster is always uptodate.
  • Invoicing:
    • Generating and sending invoices to clients or customers for services provided.
    • Ensuring accuracy in billing and tracking payments received.
  • Payroll Approximately 10 Shift Workers (mostly casual):
    • Calculating and processing payroll for the shift workers considering factors like hours worked overtime and any applicable bonuses.
    • Ensuring compliance with labor laws and regulations regarding wages and payment.
  • Admin and EA Support Including Email and Calendar Management:
    • Providing administrative support which may include tasks like organizing meetings managing files and handling correspondence.
    • Calendar management involves scheduling appointments meetings and events for executives.
  • Social Media Management Managing Page Creating Content Looking for Potential Work:
    • Overseeing and maintaining the organizations social media presence.
    • Creating engaging content monitoring interactions and exploring opportunities for business growth through social media channels.
  • Sales Support Sending Sales Collateral and Service Agreements:
    • Assisting the sales team by providing necessary documents such as sales collateral and service agreements to potential clients.
    • Ensuring timely and accurate delivery of sales materials.
  • Maintain CRM (Customer Relationship Management):
    • Updating and managing customer information in the CRM system.
    • Tracking interactions with clients and ensuring that customer data is accurate and uptodate.
  • Compliance Management Enter Accreditations/ID of Shift Workers:
    • Ensuring that shift workers meet necessary compliance requirements including verifying accreditations and maintaining records.
    • Entering and updating identification information to comply with regulatory standards.
  • Maintains and builds a supportive and effective team culture
  • Upholds and promotes the firm s values
  • Maintains the highest ethical and professional standards


Requirements

  • Bachelors degree in Business Administration Marketing or a related field. At least 4 years experience in Administration
  • Proven experience as an Executive Assistant with exposure to Social Media Advertising.
  • With Rostering experience and tech savvy
  • Strong attention to detail
  • Excellent oral and written communication skills
  • Adaptable and able to thrive in a fastpaced environment.
  • Knowledgeable in the following software:
    • Quickbooks / Xero
    • Experience with a rostering system or Shift Care highly regarded
    • Docusign
    • Canva
    • Google Drive / OneDrive
    • Excel

At least 4 + years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
