Main responsibilities:

  • Provides employee permanent entrance cards to all KGSH staff when joining the firm programmed with valid alive and gradebased entry accesses.
  • Lost and Stolen entry cards to be reported to the NITSO and provide new one for the employees.
  • Handle temporary cards and followup on them so that they are returned.
  • Register all incoming visitors clients and inform the host as soon as possible.
  • Provide temporary card to the visitors if needed.
  • Prearrange rooms for welcome visitors (check cleaning and refill mineral water catering as by default) serve visitors with coffee/tea (using an external hostess if necessary) arrange wifi code call AVtech assistance if needed keep undisturbed period for time of visitor meeting.
  • Help serving sandwiches during client meetings or events. Makes coffe and tea for the attendees.
  • Processing of external mail inbound and outboundincoming courier/international courier items.
  • Providing backup to Group Admins assistants in the following tasks:
  • Manage and keep databases (EMS4 CMMS) and contracts updated in internal systems
  • Issue and distribute outgoing invoices
  • Upload incoming invoices into the AP Workflow system and follow up on them until payment.
  • Provide andministrative support and arrange daytoday operations of the office (eg. handling incomingoutgoing postcourier mails ordering stationery KGSH infomailbox management)
  • Responsible for coping with requests and troubleshooting for teams where issues occure
  • Travel arrangements (flights and accomodation) for colleagues and potential new joiners from abroad
  • Involvment in the organization of certain events/client meetings which include sending out invitations booking venue and ordering catering
  • People in this position ocassionally get in touch with other departments within KPMG also other KPMG firms internationally.

Professional experience:

  • 12 years of experience in administrative support is an advantage
  • English working proficiency
  • Exceptional communication and interpersonal skills
  • College/University degree
  • Advanced excel knowledge
  • Precision and accuracy able to work individually flexibility
  • Good problem solving skills and reliability
