The Office Manager is the first point of contact for all families teachers and pupils suppliers visitors and callers The Office Manager not only represents St Georges School and its philosophy but also plays an active role in school life The role requires a highly proactive individual with excellent interpersonal and communication skills The aim of the Office Manager with responsibility for Extra Curricular Activities is to ensure a rich and diverse extracurricular activities programme to cover the three key areas termtime club activities holiday programmes and sports fixtures tailored to the
needs of all age ranges The right person will be comfortable working in a collaborative environment loves providing creative people solutions and can thrive in a growing and fastchanging environment

Located in DuisburgDsseldorf and joining the administration team of the school group we are looking for a fulltime Office Manager (m/w/d) with Responsibility for Extra Curricular Activities

Tasks

Your Main Responsibilities

  • First and important point of contact for families prospective families suppliers teachers and pupils in person via email and on the phone
  • Representing St Georges School and promoting the St Georges philosophy and values
  • Scheduling meetings and school tours and liaising with different stakeholders across the school like Admissions Facilities and Academic Staff
  • Responsible for the daily pupil registration and ensuring a safe school environment
    Dealing with school accidents and the respective documentation
  • Document translation (English German / German English)

Your Main Responsibilities Extra Curricular Activities

  • Building and maintaining strong links and contacts to support the schools extracurricular offer
  • Marketing club and holiday activities both internally and externally
  • Managing the timeline for establishing teacherled holiday activities including scheduling publicity enrolment invoicing payment and teacher remuneration in line with the internal holiday programme policy
  • Ensuring a functioning timetable for club activities which avoids conflicts in terms of resources and space
  • Maintaining registers and records of pupil/staff participation in extracurricular activities
  • Supporting the resourcing of club activities in conjunction with Heads of Section and the Ordering Department
  • Ensure that the schools management team are updated with all relevant information in a timely manner
  • Supporting Heads of Section/Department in developing a balanced club programme and in communication with parents
Requirements

Your Profile

  • You love and live service excellence and know how to create a welcoming atmosphere
  • You are interested in education
  • You are open to running an afterschool club once or twice per week yourself with children of different age groups
  • You are used to working in a fastpaced environment
  • You are fluent in English and German both written and spoken
  • You know how to organise yourself and prioritise tasks
  • You are creative in finding solutions sometimes on short notice
  • You are familiar with MSOffice Tool box
  • You have experience in a comparable position as Event Manager
  • You are a team player and at the same time enjoy taking on your own responsibilities
  • You have an Apprenticeship / Education as European Secretary Office Manager Translator or Professional hotel employee
