Job Summary

As a liaison between departments, the Project Administrator bridges communication gaps and assists in the day-to-day operations of the teams and their projects.

Key Responsibilities:

  • Coordination:
    • Email management
    • Schedule management
    • Virtual meeting setup and preparation
    • Travel arrangements
    • Provide daily administrative support to team
  • Project administration:
    • Manage Supervisors’ schedules
    • Liaison with Accounting Department / Contracts - Budget management
    • Project status reports
    • Client project lists
    • Monthly team projection reports
    • Team timecard review
  • Contracts:
    • Provide support to internal Contracts Team
    • Assist with internal review of contracts
    • Review and finalize documents for distribution
    • Update internal project tracking system and budget software
  • Communication:
    • Client emails
    • Internal emails
    • Engage with and support other administrators as a team

Desired skills and experience:

  • Detail-oriented with the ability to multi-task
  • Organized and good with follow-through
  • Ability to assess and reprioritize needs as they arise
  • Personable and engaging
  • Up for a challenge – no task is too big or too small
  • Proficiency in Microsoft Office Suite
    • Bluebeam, PlanGrid and Procore is a plus but not required

Schedule:
Monday – Friday 8am-5pm in office (no remote work option available)
