Job Description

As a Logistics Assistant, you will play a crucial role in ensuring the smooth operation of our logistics and office maintenance processes. Your responsibilities will include maintaining inventory by regularly checking stock levels, anticipating and managing the procurement of necessary supplies, and expediting orders to meet demand.

What do you need to succeed?
  • Candidate must hold a degree in Hospitality Management, Business Administration, Tourism, Logistics, or a related field.
  • Should possess relevant experience in logistics of at least 1 to 2 years.
  • Must demonstrate extensive experience in transportation booking using platforms such as Transportify, Grab, Lalamove, W.Express, LBC, and other logistics/freight forwarding companies.
  • Proficiency in the English language is required.
  • Should have analytical and technical competencies related to the job.
  • Must be willing to undergo training, listen, learn, and lead as necessary.
  • Strong written and verbal communication skills are essential.
  • Strong coordination skills are necessary.
  • Must be detail-oriented and highly attentive to visual awareness and meticulous in handling details.
  • Proficiency in using MS Office, especially Excel and PowerPoint, is a must.
  • High customer service orientation and ability to remain calm under pressure.
  • Willingness to work on a shifting schedule, including weekends, is required.
  • Must be diligent and self-motivated, requiring minimal reminders for task completion.
What awaits you in this role?

Facilities:

  • Maintain inventory by checking stock to determine inventory levels; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies.
  • Coordinate with Utility/Maintenance personnel regarding issues or incidents concerning the Office premises and Facilities.

Administrative:

  • Operate and maintain an effective filing system for the department per site.
  • Submit monthly reports of Billing to Finance.
  • Submit weekly and monthly reports regarding machine dispatch, delivery, recovery, and other details relevant to this activity.

Logistics:

  • Strictly comply with the policies, processes, protocols, budget, and service level agreement related to Emapta assets and IT equipment dispatch and recovery.
  • Capture and monitor Emapta assets and IT equipment (desktops, monitors, peripherals, accessories, etc) dispatch and recovery requests for both Metro Manila and regional sites (Baguio, Angeles, Cebu, Davao).
  • Ensure timely delivery and/or recovery of Emapta assets and IT equipment at all times.
  • Accurately enter and update Emapta assets and IT equipment dispatch and recovery data using the standard tracker file.
  • Maintain open and active communication and coordination with co-FAs, Recruitment Department, and ITs main point of contact for smooth, efficient, and successful Emapta assets and IT equipment dispatch and recovery.
  • Ensure the correctness of delivery and/or recovery details, including but not limited to staffs pin location, ETD, ETA, updated mobile number, email address, and other relevant data to ensure successful delivery and/or recovery.
  • Continuously coordinate and update with the staff before, during, and after the delivery and/or recovery of Emapta assets and IT equipment.

Responsibilities:

  • Submit weekly reports on time related to the number of dispatches, recoveries, replacements, and additional tasks, including the cost.
  • Properly coordinate with Emapta accredited and/or other logistics and freight forwarding companies to ensure safe, reliable, and timely delivery and recovery of Emapta assets and IT equipment.
  • Coordinate with site Utility to ensure safe and secure packaging of Emapta assets and IT equipment through inspection before dispatch.
  • Provide updates to different departments on the status of all Emapta assets and IT equipment dispatch and recovery using the approved communication channels.
  • Collaborate with FA Departments Team Lead/Manager to further develop and enhance the processes related to logistics.
  • Perform other tasks that may be assigned from time to time related to admin and logistics.
