This is a remote position.

The Executive Assistant to the COO will play a crucial role in assisting the COO in various administrative tasks and ensuring the smooth operation of the executive office.

Requirements

This role requires a candidate with strong organizational skills, excellent communication, and a proactive approach to managing executive-level responsibilities.
  • Administrative Support: Provide high-level administrative support to the COO, including managing their calendar, scheduling meetings, and making travel arrangements.
  • Communication: Handle incoming and outgoing communication on behalf of the COO, including email correspondence and phone calls. Maintain discretion and professionalism in all interactions.
  • Document Management: Prepare, proofread, and edit documents, reports, and presentations using Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint). Ensure documents are accurate, well-organized, and in line with company standards.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and video calls. Prepare meeting agendas, take minutes, and distribute meeting materials as needed.
  • Information Management: Organize and maintain electronic and physical files, ensuring easy retrieval of documents and information as required.
  • Project Support: Assist in managing and tracking projects and initiatives as directed by the COO. This includes follow-up on action items, tracking project progress, and reporting.
  • Data Analysis: Utilize Microsoft Excel to create spreadsheets, analyze data, and generate reports for the COO, providing insights to support decision-making.
  • Event Planning: Assist in planning and coordinating events and functions, both internal and external, that involve the COO's participation.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain a high level of professionalism and ethics.

Qualifications:
  • Proven experience as an executive assistant or in a similar role, supporting C-level executives.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Proficiency in Google Suite
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Attention to detail and a high degree of accuracy.
  • Proactive and able to anticipate the needs of the COO.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Discretion and trustworthiness to handle sensitive information.
  • A professional and friendly demeanor.

Education:
A Bachelor's degree in a related field is preferred but not required.
