This is a remote position.
The Executive Assistant to the COO will play a crucial role in assisting the COO in various administrative tasks and ensuring the smooth operation of the executive office.
Requirements
This role requires a candidate with strong organizational skills, excellent communication, and a proactive approach to managing executive-level responsibilities.
- Administrative Support: Provide high-level administrative support to the COO, including managing their calendar, scheduling meetings, and making travel arrangements.
- Communication: Handle incoming and outgoing communication on behalf of the COO, including email correspondence and phone calls. Maintain discretion and professionalism in all interactions.
- Document Management: Prepare, proofread, and edit documents, reports, and presentations using Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint). Ensure documents are accurate, well-organized, and in line with company standards.
- Meeting Coordination: Arrange and coordinate meetings, conferences, and video calls. Prepare meeting agendas, take minutes, and distribute meeting materials as needed.
- Information Management: Organize and maintain electronic and physical files, ensuring easy retrieval of documents and information as required.
- Project Support: Assist in managing and tracking projects and initiatives as directed by the COO. This includes follow-up on action items, tracking project progress, and reporting.
- Data Analysis: Utilize Microsoft Excel to create spreadsheets, analyze data, and generate reports for the COO, providing insights to support decision-making.
- Event Planning: Assist in planning and coordinating events and functions, both internal and external, that involve the COO's participation.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain a high level of professionalism and ethics.
Qualifications: - Proven experience as an executive assistant or in a similar role, supporting C-level executives.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Proficiency in Google Suite
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Attention to detail and a high degree of accuracy.
- Proactive and able to anticipate the needs of the COO.
- Ability to work independently and handle multiple tasks simultaneously.
- Discretion and trustworthiness to handle sensitive information.
- A professional and friendly demeanor.
Education: A Bachelor's degree in a related field is preferred but not required.
