Midland College (MC), is a comprehensive public community college providing higher education, skills development, continuing education, community services and cultural enrichment to the Midland community. The Secretary of Financial Aid will provide support and organizational services for the office of Financial Aid through the Director of Financial Aid. This position will manage departmental budgets, correspondence, and scheduling of various events. The Secretary of Financial Aid will interact with students and the general public by providing information and directions as needed.
Essential Functions
Maintain personnel documents, payroll activities, time sheets and transmittals
Maintain inventory of office equipment and supplies, including maintain office equipment and computer inventory records
Maintain department fixed assets
Prepare help desk tickets for the department
Maintains and monitors budget spreadsheet
Responsible for all Financial Aid staff travel arrangements (i.e. hotel, travel reservations)
Responsible for collection of travelers receipts to include proper reconciliation with purchasing
Prepare requisitions for the department
Collect weekly leave sheets, verify data, copy and submit to Director
Maintain departmental calendar
Prepare suspension review documents and schedule suspension review committee meetings
Prepare payment authorization requisition for outside scholarship return of funds
Prepare FedEx labels and envelopes for overnight mailings
Assist Financial Aid office as needed
Other duties as assigned
Physical Demands
Must be able to sit for long periods of time
Must b e able to lift/move up to 25 pounds
Use of manual dexterity
Repetitive use of keyboard at a workstation
Must be able to run errands/deliver paperwork on Campus
Required Qualifications
High School diploma or equivalent
Two years of secretarial/general office experience
Excellent communication and public relation skills
Excellent customer service skills
Strong organizational skills
Data entry experience
Computer literacy with proficiency with Microsoft Office Suite, including Word and Excel
Knowledge of general office equipment to include copier, fax machine, and multi-line telephone
