Word Processor and Legal Secretary
Overview
Our client is seeking a full-time Word Processor and Legal Secretary for their office in Naples, FL. To be successful in this role, the Word Processor and Legal Secretary will primarily support the PCG Attorneys and probate group, and will assist the firm s Attorneys, Director of Human Resources, Managing Partner, and the Office Administrator regarding the following responsibilities, which may be expanded through delegation:
Responsibilities and Essential Functions
- Provide:
- Support to the PCG Attorneys and probate group
- Backup to assist PCG attorneys when their secretaries are out on PTO
- Create 3-ring binders for clients and/or referrals who have signed documents
- Maintain, prepare, and perform:
- Forms as needed for the attorneys
- Desk files
- Client document filing in a timely manner
- Draft, revise, and finalize documents and letters for the attorneys
- Fax, photocopy, and prepare correspondence for mailing, including Certified Mail Return Receipt Requested, and overnight packets (such as UPS, FedEx, etc.)
- Witness and/or notarize documents at client signings
- Cover switchboard when necessary
- Answer phones in a professional manner, perform due diligence to ensure clients will leave voicemails for the attorneys, and take detailed messages for assigned attorneys
- Work overtime only when requested by the attorneys
- Conduct other duties specifically assigned by the attorney, FTA, the Director of Human Resources, and/or the Office Administrator
Requirements
- Proficiency with MS Office (Outlook, Word, and Excel)
- A minimum of 1 to 2 years of relevant experience
- Effective and proficient communication skills with clients and client contact, colleagues, and attorneys
- Detail-oriented with efficient organizational and time management skills, to prioritize and handle tasks under pressure in a timely and efficient manner
- Possess an eloquent, friendly, and professional manner
- Prioritize diligent attendance and punctuality
