Job summary

We are looking for a talented Admistrator/PA to join one of the longest running and well respected Estate Agencies in Northampton. Dealing with mid-market properties and with a wealth of satisfied clients, we are looking for a person to join a great team that focuses on putting our customers first.

As Administrator / PA to the Director, this role requires you to provide provide support for a broad range of administrative duties, some of which may be complex, but all training and support will be given. Using your excellent organisational skills and attention to detail we are looking for an individual who has great attention to detail, who is friendly with an outgoing attitude, and who can ensure that tasks are carried out and completed to a high quality.

Main Duties

1. Undertake complex diary management and meeting planning, usually 6-12 months ahead, making decisions on the best use of time. This will require you to understand the priorities and deadlines you and your Director are working to, and will involve developing relationships across the office with collegues in different departments.

2. Proactive inbox management, with confidence to make decisions on behalf of others where appropriate.

3. Dealing with a wide range of more complex enquiries and correspondence independently, or exercising judgement to redirect them to senior colleagues or other departments within the business.

4. Organisation of events including booking a venue, sending invitations, arranging refreshments, liaising with speakers, manage bookings, co-ordination of colleagues, advertising, collating feedback and reporting back.

5. Will manage some smaller projects on own initiative, but will also carry out desk research and source data from internal and external sources in order to contribute to wider projects.

6. Liaise with outside partners.

Person Specification

1. Previous administrative or PA experience

2. Have excellent interpersonal skills and build strong working relationships with the office team to ensure co-ordination and consistency of messages

3. Highly proficient IT skills, in particular the ability to handle complex electronic diaries and emails, the wider MS Office suite of programmes including excel and PowerPoint, and some experience of using an enterprise resource planning package. The post holder should also be confident and able to quickly learn new IT skills and software packages as required.

4. A high degree of professionalism, tact, and diplomacy, and the ability to exercise discretion regarding the handling and management of sensitive information/issues.

5. Ability to understand policy and procedures and how to apply these.
