About the Role:

The Virtual Assistant will work directly with the Co-Founders, manage all recruitment and content operation tools, liaise internally and externally, and make sure the back-end and the processes are smooth and


Responsibilities:

LinkedIn Lead Generation
  • Use VPN to access partners/TCA LinkedIn Page
  • Auto-view target profiles
  • Send 20 connection requests per day
  • Send 20 personalized direct messages per day using scripts / templates
  • Add target clients as Leads in Loxo CRM and or LI Recruiter
  • Check Loxo and or Slack or Notion for recommended actions
  • Engage with LinkedIn updates posted by target clients and/or influencers in your space - like/comment in your voice
  • Endorse target clients skills
  • Accept any relevant incoming invitations via LinkedIn
  • Congratulate relevant clients/candidates on birthdays, work anniversaries
  • Follow up on LinkedIn Updates - recently changed jobs
  • Respond to inbound messages and replies via LinkedIn Messaging
  • Check "saved searches" and add new 2nd level connections to list for
  • inviting
  • Export LinkedIn Connections to spreadsheet / csv file
  • Export prospects (2nd and 3rd degree connections) to spreadsheet / csv file
  • Add prospects to relevant email outreach campaigns
  • Respond to inbound leads and schedule appointments in your

Social Media Management
  • Curating content relevant to our audience
  • Scheduling social media content via Hootsuite, Buffer, MeetEdgar, Sprout Social or Agora Pulse
  • Posting our LinkedIn updates and videos manually
  • Social networking on various TCA Platforms
  • Following relevant profiles on platforms
  • Cataloging people who don t follow TCA back
  • Create and maintain Social Media Tracking Report to monitor results

Administration

  • Booking appointments, handling cancellations and rescheduling
  • Upload relevant documents and videos to candidate and client portals
  • Process 1-3 email inboxes
  • Scan and upload documents to the cloud (Dropbox, Google Drive), shred the hard copies
  • Retrieve files from Dropbox / Google Drive and email to people on our behalf
  • Word Processing Emails; Create documents and reports from notes
  • Prepare standard documents for electronic signing, Fee Agreements, Terms of Business
  • Data entry Keep CRM (Client Relationship Management) / ATS (Applicant Tracking Software) up to date
  • Send out Interview Confirmations to clients and candidates
  • Create and update spreadsheets
  • Create presentations in PowerPoint or Keynote
  • Transcription Services Dictate notes and record important conversations, have them
  • Research suppliers
  • Researching software tools

Podcast Production

  • Manage emails, recording schedule, download files and send to podcast editor
  • Ask guests for Bios, Headshots
  • Check tech is set up correctly for guests; have a run through with them on the tech
  • Upload episodes and show notes
  • Annotate episode notes and write short

Accounting

  • Bookkeeping Scan and upload receipts to Quickbooks
  • Invoicing
  • Accounts Payable make sure the bills are paid on time

Marketing & Content

  • Create automated email follow up campaigns
  • Send email broadcasts to opt-in list
  • Design infographics
  • Online directory submissions
  • Maintain content calendar
  • Source royalty free images for blog
  • Upload blog articles to website
  • Manage Notion microsites for job descriptions



Qualifications:

  • Has at least three years of proven experience as a Virtual Assistant/Coordinator, or solid experience in any relevant roles
  • Has excellent oral and written English communication skills
  • Has previous experience in managing podcasts
  • Excellent email and calendar management skills
  • Must be highly organized and detail oriented
  • Can do basic bookkeeping and process invoices
  • Experience in social media management and email marketing
  • Creativity and ability to create basic graphics
  • Research and lead generation skills
  • Proficient in the following tools:
  • LinkedIn Recruiter
  • Loxo CRM
  • Slack
  • Notion
  • Spreadsheet/CSV files
  • LinkedIn Extractor
  • Social Media Content Scheduler (Hootsuite, Buffer, MeetEdgar Sprout Social, Agora Pulse)
  • Dropbox or Google Drive
  • Applicant Tracking Software
  • PowerPoint or Keynote
