Job Description

Job Role -Legal Secretary
Hours: 09:00 17:00, Monday to Friday (35 hours per week)
Department: Yachts Marine Business Group
Location:London London SW1Y 6EE

Introduction to the role:
The role will involve taking care of administrative and organisational tasks for the Yachts team, arranging meetings, billing, and filing. The successful candidate will also be a point of contact for compliance matters and queries.
Introduction to the team:
The successful candidate will join the Yachts team in London which consists of 17 legal professionals servicing clients across the globe.
Introduction to the role
The role will involve taking care of administrative and organisational tasks for the Private Client North West team, arranging meetings, typing and filing. The successful candidate will be a point of contact for all queries and requests.
Key responsibilities
  • Coordinating administration of the Yachts team including:
    • Diary management / arranging meetings
    • Coordinating team diaries and arranging travel
    • Full understanding of the team s clients and files
    • Ensuring regular and efficient billing and monitoring retainer arrangements
  • Opening of Client files, collating KYC and liaising with Compliance Team
  • Maintaining new matter schedules for individual FE s ensuring:
    • Engagement letter finalised, sent and record kept of fee estimate
    • Information Barrier in place, restricted access arranged and letters sent.
  • Updating schedule of Escrow Funds held.
  • Preparing International Bank Transfers, Bank Transfers and various finance forms.
  • Prepare monthly client billing, expense claims and general finance tasks
  • Document formatting house style formatting, amendments and comparisons
  • Assist with Front of House duties, to include welcoming Clients and arranging refreshments
  • Carry out copying and electronic filing
  • Make and receive telephone calls, ensuring all calls are managed
  • Arrange couriers/deliveries
  • Dealing with invoices
  • Prepare PowerPoint presentations when required
  • Stationery ordering, where appropriate
  • Developing good working relationships with both internal colleagues and external clients and contacts as required, promoting a positive working culture and environment
  • Developing marine industry knowledge and attending training as may be necessary or desirable to assist in performance of the role
What we are looking for
Essential:
  • Proficient in Word, Excel, Outlook and any other in-house systems in use throughout the firm.
  • Proficient in diary management; meeting arrangements, telephone and email communication
  • Fast and accurate typing speeds
  • Previous experience using a case management system
  • Conversant in document formatting including track changes, auto-numbering and creating table of contents
  • Conversant in document version control
  • Able to take and pass on accurate messages
  • Excellent communication skills
  • Ability to prioritise tasks and to work under pressure
  • Able to demonstrate adaptability and flexibility
  • Able to produce accurate work with strong attention to detail
  • Team player who is able to work as part of a team and use initiative but also able to work independently
