Our client is a successful property group based in Gardens, Cape Town. We are looking to recruit an experienced Property Support Co-ordinator/Administrator. This role is to carry out support to a variety of areas in the business to ensure a professional service. The ideal candidate will come from the property industry, with a keen eye for detail.



Administrative
  • Loading new assets and leases on the WeConnectU Rental Asset Management system
  • Ensure Agents files are complete and saved on the company database
  • Receive and reconcile monthly service provider accounts & inputting data on a spread sheet
  • Draft notices including but not limited to Letter of Demand, Lease Cancellation, etc.
  • Agent Admin Support
  • Update lease packs as and when new updates are published
  • Follow up on arrear rentals & update landlords
  • Distributing vacancy schedules to all external brokers
  • Checking Agent lease agreements
  • Compiling Commercial and Residential Lease Agreements
  • Ensure all templates are saved on company data base
  • Maintenance and Facilities Management Support
  • Co-ordinate all required maintenance
  • Property Inspections and Reports
  • Assist Property Manager with quotes
  • Update Red Rabbit maintenance logging system
  • Point of contact for all building staff ( Security and Cleaners)
Sales and Key Account Support
  • Attend weekly sales meetings with agents and take minutes
  • Report Weekly on lease renewals and escalations
  • Prepare Report for Key Account Meetings
  • Attend Key Account Meetings

Marketing and Office Support
  • Ensuring all listings are loaded correctly on various property sites
  • Ensuring all listings are done to the correct standard
  • Assisting Agents with compiling listings
  • Ordering and control of all marketing material
  • Quality control on all marketing materials received
  • Petty Cash
  • Office consumables




Requirements

  • Matric
  • Administrative/Property oriented tertiary qualification advantageous
  • Minimum of 2-3 years s administrative experience in a similar role
  • Knowledge of the WeConnectU rental asset management system (advantageous)
  • Knowledge of PropCtrl (advantageous)
  • Knowledge of Red Rabbit (advantageous)
  • Excellent written and oral communication skills
  • Detail orientated
  • Computer literate
