We are currently recruiting for a group of GP Practices in Redbridge. Their primary business activity is the delivery of highest quality bespoke healthcare In and Out of Hours appointments and to operate a local walk in service.
They provide a wide range of Primary Medical Servicesunder both NHS and independent arrangement.
We are seeking an Access Hub Site Supervisor.
Purpose of the role
To manage a team of 5 or more staff to ensure consistency of quality and customer service of all incoming and outgoing calls as well as ensuring correct data is obtained and sent to CCG.
Main Functions
- Manage and support a team of 5 or more staff at any one time to ensure quality standards are met at all times
- Regularly monitor the quality standards in relation to telephone calls (ie answer within 5 rings)
- Monitor and manage call handling flow
- Management of telephony data (ie number of calls coming in/hanging up etc)
- Ensure that the appropriate peripheral centres and surgeries are made live or closed on Emis and the Directory of Services in a timely manner to accurately reflect the availability of services
- Ensure Minimum Data Set is collected for contract reporting
- Act as a central point of contact for external trouble shooting/crisis management, including out of hours service sites
- Support Contract Manager /Site Administrator with formal induction of both clinical and non-clinical staff
- Liaise across all sites
- Report any CQC issues or SI s to the Operational Service Manager.
- Ensure collection of appropriate patient satisfaction is collected from each site and collated and shared with relevant teams
- To arrange team meetings at central site, prepare agenda items and actions arising provided by lead
- Infection control will seek guidance from the Operational Service Manager and advise personnel before attending work
Additional Tasks
You will be required to assist Operational Services Manager including preparation of meetings, research and development and any other duties deemed suitable to the post. Priorities are likely to vary from time to time
To review training needs of staff each time a new item of equipment is purchased
Gain knowledge of the Incident reporting procedure and advise Site Administrators accordingly under the guidance of the Operational Service Manager
To carry out together with the Operational Service Manager an Annual Infection Control Audit and Infection Prevention and Control Risk Assessment.
To maintain a Risk Register for each site
Responsible for implementing strategies and policies of ensuring staff are aware of and understand their responsibilities
Responsible for identifying areas of Risk and managing them according to the risk management process and at the level authorised within the job description
Liaise with Operational Service Manager and inform Site Administrators of when medical equipment requires testing or calibration by ways of keeping a record of last date of service and when service is due To be reported to Operational Service Manager and Clinical Governance committee annually
To undertake the role of MHRA officer designated at each site
To carry out regular site checks to ensure correct disposal of out-of-date drugs and confirmation that cold chain compliance in place at each site.
To provide a quarterly report outlining the overall satisfaction score at each Access Hub Site to be presented to the Operational Service Manager.
Attend monthly Senior Management team meetings to discuss any issues and develop future plans and working practices for hub sites
Requirements
Candidates will need experience using EMIS system.
Shift Times: Flexible working hours to accommodate the following service hours:
Monday Friday 7.30am 9.30pm
Saturday 9am-5pm
Sunday from 9am-4pm
