Job Description

Title: Administrative Assistant
Location: New York
Duration: Long Term
Duties:
Assist with updating, maintaining and conducting research for the Bureau's complex Litigation reports, Settlement reports and Trial calendars.
Assist with scheduling meetings, teleconferences and interviews utilizing various web conferencing platforms.
Assist with monitoring the Bureau's shared email boxes for incoming correspondence or legal papers and distribute appropriately.
Assist with document management and monitoring incoming filings within NYMatters, including scanning and transferring documents to NYMatters.
Review unaddressed incoming mail/correspondence and the transmission of such documents, as appropriate, to the appropriate bureau or designated person for handling.
Respond to telephone inquiries from the public and other state agencies. Refer inquiries as necessary and maintain records of those communications.
Assist with maintaining the supply room and distribution of legal books.
Assemble pleadings, organize case files and copy various forms as needed.
Prepares Tables of Authority and Tables of Contents.
Must be proficient in Microsoft Word and Microsoft Excel.
Preferred Education - High School or Bachelors Degree
