Office Manager
Perform receptionist duties: greet visitors, and answer and direct phone calls
Receive and sort incoming mail and deliveries, and manage outgoing mail
Support management with onboarding employees.
Submit IT tickets (New Joiners Laptop, Software Requests, Custom Emails, FTP, etc.)
Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
Maintain and stock supplies in supply cabinet and breakroom
Contact Office Vendors when necessary
Assist with office layout planning and office moves
Create badges and authorize access to the building
Validate ITAR compliance (when necessary)
Upload and Track all ITAR cases for audit purposes
Ensure maintenance of office is done on a regular basis (HVAC, pest, etc.)
Keep bull pen organized and clean for seating
Work directly with management on building updates or marketing installs
Follow up on payment delays and payment procedures.
Follow approval policies to push Purchase Requisition creation.
Connect with the Requisition team regularly to ensure a smooth process.
Audit Quotes to ensure accuracy
Enter order details (e.g. vendors, quantities, prices) into internal databases
Create Purchase Requisitions and update Trackers
Gather approvals from all levels of management for TPC Extensions, Rate Changes, or updating Vendors
Other functions to be determined at any time by immediate supervisor.
