Personal Assistant

Summary: Our Client is in search of an experienced professional to function in the capacity of personal assistant. The PA will perform secretarial work and provide their executive with day-to-day administrative support and will play a pivotal role in helping the executive to make best use of their time with administrative and secretarial tasks.

Duties and Responsibilities:

  • Acting as the point of contact among executives, employees, clients and other external partners

  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive s behalf

  • Maintaining comprehensive and accurate records

  • Managing information flow in a timely and accurate manner

  • Organizing executives calendars and setting up meetings, including scheduling, sending reminders, prioritizing the most sensitive matters and arranging catering when necessary

  • Formatting information for internal and external communication memos, emails, presentations, reports

  • Answering phone calls in a polite and professional manner

  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department

  • Making travel and accommodation arrangements

  • Racking daily expenses and prepare weekly, monthly or quarterly reports

  • Overseeing the performance of other clerical staff

  • Taking minutes during meetings

  • Screening and direct phone calls and distribute correspondence

  • Performing other duties as required



Requirements

The requirements listed below are representative of the Knowledge, Skill and/or ability required to perform this job satisfactorily

  • Work experience as an Executive Assistant, Personal Assistant or similar role

  • Excellent MS Office knowledge

  • Outstanding organizational and time management skills

  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)

  • Excellent verbal and written communications skills

  • Discretion and confidentiality

  • PA diploma or certification is a plus
