Personal Assistant
Summary: Our Client is in search of an experienced professional to function in the capacity of personal assistant. The PA will perform secretarial work and provide their executive with day-to-day administrative support and will play a pivotal role in helping the executive to make best use of their time with administrative and secretarial tasks.
Duties and Responsibilities:
Acting as the point of contact among executives, employees, clients and other external partners
Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive s behalf
Maintaining comprehensive and accurate records
Managing information flow in a timely and accurate manner
Organizing executives calendars and setting up meetings, including scheduling, sending reminders, prioritizing the most sensitive matters and arranging catering when necessary
Formatting information for internal and external communication memos, emails, presentations, reports
Answering phone calls in a polite and professional manner
Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
Making travel and accommodation arrangements
Racking daily expenses and prepare weekly, monthly or quarterly reports
Overseeing the performance of other clerical staff
Taking minutes during meetings
Screening and direct phone calls and distribute correspondence
Performing other duties as required
The requirements listed below are representative of the Knowledge, Skill and/or ability required to perform this job satisfactorily
Work experience as an Executive Assistant, Personal Assistant or similar role
Excellent MS Office knowledge
Outstanding organizational and time management skills
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
PA diploma or certification is a plus
