JOB PURPOSE

Supporting the HR Executive and Head of Operations in running operations of the HR department, the successful candidate will be an enthusiastic self-starter who is able to use their initiative and work under minimal supervision. They will be a team player who works collaboratively with others showing a willingness to continually develop their level of knowledge and have the appropriate skills / qualifications.


KEY RESPONSIBILITIES


Recruitment

  • Manage HR email inbox, with the support of the HR Executive, and respond to first level recruitment related queries.
  • Assist in the recruitment process, with the support of the HR Executive.
  • Advertise roles on appropriate websites and across social media platforms.
  • Coordinate interview times, dates, and location in agreement with the hiring manager.
  • Prepare interview documentation, with input from the HR Executive.
  • Issue regrets and feedback to unsuccessful candidates/applicants.
  • Request and verify reference requests.
  • Ensure that new start employees complete the relevant forms and return necessary paperwork as part of the on-boarding process.
  • Draft contracts as instructed by the HR Executive.


Payroll and Remuneration

  • Support the HR Executive where required.


Time & Attendance System

  • Set up new hires on the T&A and Access Control system.
  • Ensure employee profiles are maintained and kept up to date.
  • Generate information reports as required.


Administrative Duties


  • Assist in processing of staff administrative requests such as salary certs, confirmation of employment letters etc.
  • Assist the HR Executive in the preparation of reports for the Board and the Department of Health.
  • General HR administration and HR filing.
  • Assist with minute taking as required.
  • Act as cover for the PA to the Chief Executive when they are on leave.
  • Undertake other delegated duties appropriate to the scope and function of the post including cover duties during periods of leave.
  • This is not an exhaustive list, and the post holder will be required to take on other tasks and duties as required for the proper and effective performance of his/her/their duties.

Requirements

ESSENTIAL SKILLS AND QUALIFICATIONS

At least 1 year s HR administration experience in a busy, administrative process driven environment.
Strong knowledge of HR operations across all stages of employee lifecycle.
Good understanding of employment law.
Experience in document control and management.
Excellent organisational skills with the ability to manage and prioritise tasks in an effective manner to meet deadlines.
Excellent relationship management skills.
Proven problem-solving skills.
Experience in implementing process improvement initiatives.
Experience with HR systems.
Strong knowledge of MS Office suite.
Well-developed interpersonal skills with the proven ability to engage effectively and appropriately with internal and external stakeholders.
Have a demonstrable can-do attitude and a proven ability of dealing and operating within changing task requirements


Highly Desirable Experience:

Experience of working in a public sector HR related role.
Understanding of public sector pay scales, pensions and implementation of relevant circulars and employment legislation
