The Studio Coordinator s mandate is to keep perfect track of the studios resource allocation, namely who is working on what project/ delivery within the Imagineering studio and all the upcoming deliveries and deadlines. The studio consists of art directors, graphic designers, video artists, concept artists/ visualizers and copywriters/ creative strategists.

The Studio Coordinator advises the Director of the Creative Department and the Senior Art Director/ Supervisor on resource allocation and how to maximize the use of the studio team through their efficient organization to deliver more creative quality and value on every project.

RESPONSIBILITIES

  • Help maintain a positive, creative and supportive environment in the studio ensuring everyone is updated on incoming and outgoing projects and deliveries and by monitoring the workload allocation across the studio.
  • Maintain the live document/ dashboard/ calendar of studio resource allocation and near-term planning (under direction of senior art director/ supervisor) so everyone can see at any given time the capacity and availability of the studio team;
  • Advise the Senior Art Director/ Supervisor on allocation of people-to-projects and track upcoming needs and requests as they come in;
  • Centralize all requests for creative deliveries. Track and maintain delivery deadlines for projects. Anticipate constrained resource or capacity limitations in the studio. Raise the flag early when deadlines could be missed;
  • Maintain the library of both creative deliveries and component assets (fonts, stock images and video, 3D assets, music, icons).
  • Ensure the correct nomenclature and organizational filing systems are used for all project deliveries.
  • Act as the last line of quality control for creative deliveries leaving the studio (spelling, file format, etc.)
  • Manage external production for the tudio (i.e. printing, binding, render farms, video grading/ finishing, 3D printing/ model making etc.)
  • Manage internal studio workflows for example the sharing of 3D assets between technical, video and concept artists. Ensure easy, efficient processes that maximize creative time and minimize admin/housekeeping.
  • Assist HR in organizing studio recruiting research candidates, store and file applications, organize interviews, test briefs etc.
  • Organize recruitment outreach events and connection with universities and colleges.
  • Maintain and manage the BWS Group External Creative Talent Database.
  • Issue and file NDAs.
  • Maintain the freelancer list. Maintain communication with freelancers (video, graphic design, art and copy) and activate these resources (confirm cost, contract and submit PO/ EL requests) when authorized.
  • Have ongoing dialogue with our regular freelancers so we can activate additional resource quickly and easily.
  • Liaise with IT on studio equipment maintenance, provision and replacement.
  • Manage licensing of all of the studio software, fonts, plug-ins etc.
  • Ensure costs of goods/ licenses/ purchases are coded and reported properly to projects.
  • Organize trainings and professional development for the studio team, as directed by the Snr Art Director / Director of Creative Dept.
  • On small video projects: provide production/ coordination support to ensure optimal video workflow and manage schedule, deliveries, licensing, etc.


Requirements

  • 2 years + experience coordinating in a studio/ studio-production environment ideally in an agency context or in a film post-prod/ television/ VFX studio environment.
  • Excellent organizational skills, detail orientated
  • Outstanding interpersonal skills, high emotional intelligence (EQ)
  • Flexible and fluid in working style able to apply rules and procedures where needed, but also open to being flexible and adjusting procedures where it is necessary to deliver creative excellence or to support the work of the studio team
  • Excellent IT proficiency including keynote, office, and an understanding of the logic/ workflow with Abode Suite products
  • Experience of database management or being a database super-user (airtable/ salesforce/ Microsoft Dynamics 365 or similar)
  • An keen interest in live entertainment creativity and production;
  • Ability to work proactively, look ahead and anticipate needs;
  • Strong written and spoken English and Italian;
  • Obsessed with delivering creative excellence and committed to the idea that organizational support
  • IDEALLY:Some experience with video production workflows, including VFX, or if not a curiosity to learn more about video production.
