This is a remote position.

Company Summary:

A global Lean consultancy and training organisation with offices in Australia and the UK, servicing forward-thinking clients throughout Europe, North America and Australasia.

Purpose:

To provide a comprehensive and effective administration service that supports the delivery of the ESFA funding contract and provide and maintain effective and efficient data relating to all student records.

Maintain knowledge regarding the use and storage of learning and ILR data, particularly in relation to the Management Information System and ESFA funding systems.

Maintaining data by collating and organising incoming information prior to inputting into the system.

Support the production and submission of compliant ILRs.

Liaise with staff to ensure qualitive submission of information and paperwork.

Support with internal audits and inspection of ILR files.

Provide clerical support for the team.


Duties and Responsibilities

  • Ensuring that the company is funded correctly and in line with funding rules.
  • Assisting with the administration of external audits.
  • To contribute to the development of policies and procedures.
  • To inform colleagues of discrepancies with claims.
  • To liaise effectively with sector skills councils and ACE support to process claims effectively.
  • To maintain electronic quality systems supporting the implementation, communication and use of policies, procedures and related documentation.
  • To conduct invigilation of examinations as required.
  • To provide an efficient administrative service as required including the typing of letters, mail merge documents to learners, dealing with incoming mail and updating databases used by us.
  • To undertake tasks relating to the effective management and storage of documentation, including archiving.
  • Minute taking for internal meetings.
  • To process reviews on a daily basis and produce reports as and when required.
  • Assist staff by responding to reasonable requests for support.
  • To participate positively in the self-assessment and development plan process.
  • To carry out data input and administrative work with a high level of professionalism and accuracy.
  • Completion of registration paperwork for Functional Skills (FS) qualifications -
  • Completion of exam booking requests.
  • Arranging and hosting diagnostic events.
  • Updating the database with PICs/Exam data.
  • Preparing materials and resources for sessions.
  • Supporting exam invigilation.
  • Filing of paperwork for members of the team.
  • To register learners with the appropriate awarding body within the required timescale.
  • The analysis of reports to highlight any inconsistencies in apprentice progress across the business.
  • Ensuring that actions related to individual apprentices have been processed correctly in PICS. Issue registration numbers to assessors.
  • Conducting regular data quality reviews and internal audits to ensure compliance with all the necessary data standards. Track registration and certification with awarding bodies.
  • Facilitate EPA assessments.
  • EAL New standards registering learners/documentation/processing.
