As an Order Support Analyst at SPM Oil and Gas you will manage end-to-end order processing logistics coordination and shipping documentation ensuring timely delivery to customers while maintaining compliance with commercial terms financial accuracy and regulatory requirements. The role also supports cross-functional teams including project finance and tender teams to optimize operational efficiency and customer satisfaction.
As the Order Support Analyst you will:
Order Management
Review customer purchase orders (PO) and accurately enter order details into the CSI system.
Process and issue intercompany purchase orders to Batam operations.
Monitor order progress and ensure alignment with customer requirements and delivery timelines.
Coordination & Communication
Coordinate closely with Batam Project Teams to ensure on-time production and delivery against customer PO dates.
Act as the primary point of contact for customers on order-related issues including updates delays and clarifications.
Documentation & Compliance
Prepare Singapore Packing List (SGPL) and share with Batam team for Certificate of Conformance (COC) preparation.
Prepare and review all shipping documentation in accordance with Incoterms stated in the PO and Letter of Credit (L/C) if applicable.
Review L/C drafts and ensure compliance with all documentary requirements prior to shipment.
Logistics & Shipping
Arrange shipments by coordinating with freight forwarders (SPM and customer-appointed) based on agreed Incoterms.
Ensure timely execution of shipments and compliance with export regulations.
Follow up on export documentation and ensure completeness for invoicing purposes.
Billing & Financial Support
Compile and submit shipping documents to Finance for invoicing.
Prepare and submit invoices to customers in accordance with PO instructions.
Support Finance in GST filing by ensuring accurate and timely documentation.
Tender Support
Support tender team in reviewing shipping and order-related requirements in tender documents.
Assist in estimating freight charges for quotation purposes.
The successful candidate must bring:
Diploma or Bachelors Degree in Supply Chain Management Logistics Business Administration or related field.
Minimum 35 years of experience in order management logistics coordination or supply chain operations.
Hands-on experience with ERP systems (e.g. CSI or similar) and MS Office.
Familiarity with international shipping processes Incoterms and export documentation.
Experience in handling Letter of Credit (L/C) transactions is preferred.
Exposure to intercompany transactions and regional coordination is an advantage

Domestic relocation is not available for this position.
