About the Role:

  1. You will play a crucial role in leading and scaling our visa fulfillment operations.

  2. You will be responsible for managing a remote team of 30-50 contractors across our Visa Documents and Encoding departments ensuring peak performance.

  3. Your goal will be to execute an aggressive expansion plan to increase our efficiency by 5-10x over the next two years without compromising our gold standard of service.

What You Will Do:

  1. Team Leadership & Management

    1. Directly manage a team of 6-7 direct reports including Visa Documents Team Leads Encoder Team Leads and an Operations Assistant.

    2. Oversee and scale a department of 40-50 remote contractors ensuring high performance across all fulfillment levels.

    3. Identify leadership potential within the existing staff and mentor them for career progression and increased responsibility.

    4. Coordinate workforce planning by identifying vacant positions and working with recruitment to onboard high-tier talent.

    5. Lead by setting clear expectations and holding team members accountable to established results and cultural values.

  2. Operational Excellence

    1. Execute an aggressive expansion plan to increase client capacity by 5-10x over the next two years.

    2. Supervise operational efficiency and quality monitoring for all Visa Documents and Encoding departments.

    3. Develop and monitor key performance indicators (KPIs) and QA metrics.

    4. Identify root causes of operational problems and propose strategic resolutions to senior leadership.

    5. Co-plan technology enhancements with the IT department to streamline fulfillment features and improve system workflows.

  3. Process Management

    1. Ensure 100% compliance with established procedures by documenting and distributing standardized departmental practices.

    2. Establish operational benchmarks and regularly share performance updates and project findings with stakeholders.

    3. Develop and maintain redundancy and catastrophe plans to mitigate risks associated with personnel loss or systemic disruptions.

    4. Proactively address potential roadblocks in the visa petition process to ensure timely submission and delivery.

  4. Training & Development

    1. Develop comprehensive training materials for both current and improved operational procedures.

    2. Execute training plans for new and existing staff to ensure a high level of competency across the global team.

    3. Analyze team data to uncover opportunities for skill development and implement controls to prevent recurring errors.

    4. Stay informed on procedural updates to ensure training programs reflect the latest company and Design industry standards.

Qualifications:

  1. 5 years of proven progressive experience in managing and leading large high-performing teams (30 members).

  2. Bachelors degree in Business Administration Operations Management or a related field.

  3. Capable of making smart data-based managerial decisions and managing complex long-term expansion projects.

  4. Expert-level communication and presentation proficiency with experience interacting with overseas personnel.

  5. Strong planning and organizational skills.

  6. Capable of adapting to changing priorities and managing multiple strategic tasks effectively.
