Job Summary

Job Title: Executive Assistant to the Managing Director Name of the organization: STEM Learning Experience: Minimum of 3-4 Years experience in relevant field Job Description STEM Learning is seeking a highly organized and proactive Executive Assistant to support our Managing Director. The ideal candidate will possess exceptional communication and organizational skills along with the ability to thrive in a fast-paced environment Preference will be given to immediate joiners only Qualifications & Criteria: 1. Bachelors degree preferred. 2. Proven experience as an executive assistant or similar role preferably supporting C-level executives. 3. Excellent organizational and time management skills with the ability to prioritize tasks effectively. 4. Strong communication skills both written and verbal. 5. Proficiency in Microsoft Office Suite and other relevant software. 6. Attention to detail and accuracy in all work. 7. Ability to maintain confidentiality and exercise discretion. 8. Adaptability and flexibility in a fast-paced environment. 9. Professionalism and a positive attitude. 10. Problem-solving skills and the ability to handle challenges with grace and composure. Key Responsibilities 1. Strategy to Execution: Assist in translating strategic goals into actionable tasks. 2. Meeting Minutes: Write and distribute minutes of meetings (MoM) accurately. 3. Goal Setting: Collaborate on annual/Quarter/Monthly goal setting for the Managing Director. 4. Review Calls: Schedule and facilitate review calls to track progress on goals. 5. Stakeholder Follow-Up: Follow up with internal stakeholders to ensure alignment on tasks and objectives. 6. Goal Execution: Support the execution of set goals through diligent tracking and reporting. 7. Sales Dashboard Creation: Develop and maintain a sales dashboard to visualize performance metrics. 8. Calendar Management: Coordinate and manage the Managing Directors schedule including meetings appointments and travel itineraries. 9. Communication Management: Serve as the primary point of contact managing emails phone calls and correspondence. 10. Administrative Support: Prepare documents reports and presentations for meetings; manage expense reports and invoices. 11. Information Management: Organize and maintain files records and databases ensuring accessibility and accuracy. 12. Meeting Coordination: Schedule and coordinate meetings conferences and events; prepare agendas and take minutes. 13. Travel Arrangements: Organize travel logistics including flights accommodations and transportation. 14. Relationship Management: Build and maintain positive relationships with internal and external stakeholders. 15. Confidentiality: Handle sensitive information discreetly and maintain confidentiality at all times. 16. Problem Solving: Proactively address potential issues and manage unexpected challenges. 17. Check-In Management: Manage regular check-ins and updates with stakeholders. 18. Presentation Creation: Develop PowerPoint presentations for meetings and reports. 19. Social Media Handling: Assist in managing the organizations social media presence as needed.

Reporting and Documentation: o Prepare and coordinate detailed project reports client-wise and region-wise. o Maintain accurate records and databasesrelated to Brillo initiatives. 3. Stakeholder Management: Build and maintain strong relationships with corporate clients to ensure successful project execution and satisfaction. 4. Program Coordination: o Collaborate with the Program Implementation team to manage day-to-day operations of Brillo projects. o Visit projectsitesto ensure effective implementation and delivery of Brillos objectives. 5. Project Monitoring: Oversee program execution ensuring alignment with organizational goals and maintaining standards. 6. Operational and Evaluation Support: Support process evaluations coordinate activities and ensure smooth project workflows.
