Job Title: Documentation Manager Property Records Location: Bangalore Department: Land Legal Reports To: Head Legal Head/ CFO
Job Purpose The Documentation Manager will oversee manage and maintain all documentation related to the organizations owned leased and rented properties across India. The role ensures that property records are complete current and compliant with legal and regulatory requirements while supporting audit readiness and smooth property transactions. Key Responsibilities Maintain a centralized repository of all property-related documents including ownership deeds lease agreements NOCs tax records renewal letters and compliance certificates all related correspondences etc. Develop implement and maintain systems for document classification version control and secure archival (physical and digital). Coordinate with legal teams external consultants and regional offices to verify title documents and ensure regulatory compliance. Support cross-functional teams in property acquisition transfer and due diligence processes. Conduct periodic audits to ensure document accuracy and alignment with company policies. Implement document digitization initiatives for ease of access backup and retrieval. Ensure confidentiality and security protocols for sensitive property documentation. Prepare reports dashboards and documentation compliance summaries for management review. Qualifications and Experience Graduate in Commerce Law Business Administration or related field. 710 years of experience in property documentation record management or legal administration of properties. Proven experience in managing property documentation portfolios across multiple locations. Strong knowledge of real estate laws lease structures and registration processes. Familiarity with document management software or ERP systems. Skills and Competencies Excellent organizational and recordkeeping skills. Strong attention to detail and accuracy. Good understanding of property law and documentation requirements. Effective communication with internal and external stakeholders. Proficiency in MS Office and document management platforms High integrity and confidentiality in handling sensitive information. Key Performance Indicators (KPIs) Accuracy and completeness of document repository. On-time renewals and compliance adherence. Audit readiness and document retrieval efficiency. Reduction in property-related documentation discrepancies.
