Subcontract Clerk (12 Month Contract)
Job Summary
The Subcontract Clerk plays a key role in supporting project operations by managing and maintaining accurate subcontractor documentation ensuring compliance with contractual insurance and safety requirements and facilitating effective communication between the project team and subcontractors. This position requires strong organizational skills attention to detail and the ability to manage multiple priorities in a fast-paced construction environment.
The salary range for this position is $60000 CAD to $75000 CAD plus additional benefits.
Key Responsibilities:
- Maintain and regularly update subcontractor files ensuring all documentation including contracts insurance certificates and safety records is current complete and compliant with project requirements.
- Prepare track and distribute administrative reports related to subcontractor status compliance and performance in a timely and accurate manner.
- Serve as the primary administrative point of contact for subcontractor-related inquiries providing clear and professional communication to both internal teams and external partners.
- Support the management and maintenance of subcontractor data within internal systems and databases ensuring accuracy and consistency of information.
- Process and track subcontractor payments verify invoices and work collaboratively with internal stakeholders to resolve any discrepancies efficiently.
- Coordinate and communicate with subcontractors regarding project requirements documentation updates and administrative processes.
- Monitor and ensure subcontractor compliance with contractual obligations safety standards and regulatory requirements.
- Provide general administrative support to the project team as required contributing to the smooth and efficient delivery of project operations.
Qualifications :
- A post-secondary degree or diploma in Business Administration Accounting Construction Management or a related field is preferred. Equivalent experience in a similar role will also be considered.
- Proficiency in Microsoft Office Suite particularly Word Excel and Outlook is essential with the ability to manage data generate reports and maintain organized records.
- Strong data entry skills with a high level of accuracy and attention to detail are critical to ensure the integrity of subcontractor and financial information.
- Previous experience working with accounting systems ERP platforms or construction-related software is considered an asset.
- Attention to Detail: Demonstrates a high level of accuracy when managing contracts documentation and financial data ensuring compliance and minimizing errors.
- Organizational Skills: Effectively manages multiple tasks files and deadlines maintaining well-structured records in a fast-paced project environment.
- Communication: Possesses strong verbal and written communication skills with the ability to interact professionally and collaboratively with subcontractors vendors and internal stakeholders.
- Time Management: Able to prioritize competing responsibilities meet deadlines and adapt to changing project needs with efficiency.
- Problem-Solving: Proactively identifies issues related to subcontractor documentation payments or compliance and works to resolve them in a timely and effective manner.
