The Software License Management Specialist role supports the effective management assignment tracking and reconciliation of desktop software licenses across the organization. The position partners with internal stakeholders and suppliers to deliver software licensing services in an accurate cost-effective manner and in alignment with established processes.
What you will do
- Validate software license availability and complete reconciliation or reclamation activities when required to ensure license allocations align with organizational entitlements and usage.
- Administer software license assignments through supplier administration portals such as Adobe LogMeIn Smartsheet and other platforms.
- Coordinate license assignment activities provide license key details and deployment instructions to Technician Services Software Deployment and maintain accurate license and license key tracking records.
- Monitor and respond to licensing-related inquiries from Technician Services business units suppliers and Purchasing Services ensuring requests are reviewed and actioned in a timely manner.
- Manage software versions by obtaining software installation media for newly licensed applications or updated versions of existing products and initiate packaging requests with the Software Packaging team to support deployment readiness.
- Provide software licensing information to Technician Services in support of laptop refresh activities.
- Investigate and resolve Service Desk incidents where software licensing is identified as a potential root cause using ServiceNow to review document and complete required actions.
- Support targeted desktop software audit activities by compiling installation reports validating license entitlement information and providing relevant supporting documentation.
- Support renewal planning by identifying optimization demand management and cost-saving opportunities using utilization and reconciliation data.
- Maintain complete renewal records including purchase history license keys and supporting documentation to ensure reliable reference for future renewal cycles.
What you will bring
- Relevant experience in software licensing software asset management or a related technology operations environment including platforms such as ServiceNow SAM Pro SCCM Intune and other software inventory and asset management tools.
- Practical knowledge of software license administration supplier administration portals reconciliation practices and software deployment support processes.
- Proven ability to review utilization data identify licensing gaps or reconciliation issues support audit activities and recommend opportunities for demand management license optimization and cost savings.
- Strong accuracy and attention to detail with the ability to maintain reliable licensing records tracking spreadsheets entitlement documentation and purchase information.
- Effective communication and stakeholder service skills with the ability to collaborate professionally with Technician Services Service Desk business units suppliers Purchasing Services and software packaging teams.
- Demonstrated ability to prioritize and manage multiple requests across email Microsoft Teams ServiceNow queues and supplier portals while meeting service expectations and maintaining accurate follow-through.

The base salary for this position is between $60000 - $89900 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus commission etc).
