Job Summary
Join our friendly and successful Door Doctor team! Door Doctor is an established company in the Overhead Door industry and has been in business for over 40 years. We are seeking a task oriented self-starting friendly individual with excellent telephone manner and superior customer service skills for the Full-Time position of Service Coordination with our Ottawa administrative team. Monday through Friday 7:30 am to 4:30 pm.
Do you have experience and/or an educational background in customer service and administration Strong telephone computer and email communication skills. We are looking for a multi tasker who enjoys a fast pace answering incoming calls directing call traffic taking appointments and delivering messages. Assist with ordering products helping counter customers and taking a regular inventory of counter parts and office supplies. You will work closely with the administrative and management team. Previous experience working in a coordination position is an asset but not required. We invite you to apply for this exciting opportunity!
Service Call Management
Answer and manage incoming calls with prompt professional support
Create and process new service requests
Review and dispatch service calls submitted through the online booking system
Process service requests received via email
Monitor open service calls and ensure timely updates
Portal & System Management
Update customer portals with accurate service details and required documentation
Maintain internal systems with current and accurate service information
Data Entry & Record Keeping
Complete timely and accurate data entry for service calls invoices and purchase orders
Maintain uptodate service records and work order statuses
Regularly audit records to ensure accuracy and completeness
Purchase Order FollowUp
Track outstanding purchase orders and follow up with vendors
Confirm materials and services have been received
Communicate PO updates to the appropriate team members
Customer & Vendor Communication
Provide professional phone and email support
Offer service updates answer questions and resolve concerns
Ensure a high level of customer satisfaction through proactive communication
Additional Support
Assist with administrative and operational tasks as needed
Maintain organized and accurate documentation to support efficient operations
Skills & Qualifications
Strong organizational skills with the ability to prioritize effectively
Excellent verbal and written communication skills
Professional phone etiquette and customer service experience
Proficiency with customer portals data entry and service management systems
High attention to detail and accuracy
Ability to work efficiently in a fastpaced environment
