Property Acquisitions Controls Officer (CONTRACT POSITION)
Job Summary
Our Property Acquisitions Team is seeking a Property Acquisitions Controls Officer to support property data analysis closing and payment of property acquisitions review and processing of approval memos tracking of expenditures and variance reporting financial analysis and budget control of property projects within the Capital Projects Group (CPG) of Metrolinx. This position has a diverse portfolio that will allow for exposure to financial analytics GIS contract and administrative functions of property acquisition projects and will report to the Manager Property Acquisitions Controls. This is a Contract/Temporary Assignment position up to 24 months.
What will I be doing
- Perform the closing function when acquiring property to ensure timely transfer of funds for ownership to Metrolinx; ensuring proper supporting documentation is in-place for audit purposes.
- Work closely with the Property Acquisitions Team to ensure information is updated correctly in the property data management database (PETRA) and properly reflected in all reporting.
- Review budget tables for the approval memo to meet acquisition requirements prior to acquisition of the property.
- Review and process legal and consultant invoices for all closings to ensure accurate reporting of expenses for each project
- Process and manage Vendor of Record invoices and keep track of spending against approved contracts limit
- Review and summarize contracts property legal documentation the Expropriations Act and other relevant documentation pertinent to the acquisition.
- Communicate with Property Acquisition Officers Finance and external legal counsels and to ensure timely processing of closing requests
- Develop coordinate and monitor the property accruals and budgets of the assigned portfolio of projects within Property Acquisitions in the Capital Projects Group.
- Presenting data in dashboards charts graphs and/or tables to capture and present meaningful information/data for reporting analysis and presentation purposes for use by management in identifying and implementing process improvements.
- Assist with month-end and year-end financial processes including accrual preparation variance analysis and audit requests.
What Skills and Qualifications Do I Need
- Completion of a degree in Business Administration Accounting Commerce Economics Real Estate or related discipline or a combination of education training and experience deemed equivalent
- Demonstrated experience in project management cost control budget control and/or management
- Experience in real estate transactions interpreting contracts lease administration property accounting or financial budgeting and reporting.
- Knowledge of budget project schedule forecasts property closings contract administration and documentation
- Knowledge of database concepts database management software and tools including PowerBI and MS Office Excel (Pivot tables and formulas) and experience in using systems and applications such as Primavera Contract Manager Oracle Unifier Ecosys Visio Word PowerPoint or similar
- Excellent organizational skills with a high attention to detail and a track record of producing accurate work.
- Strong ability to multi-task and perform in a high-pressure environment with multiple deadlines.
- Creative thinking with ability to problem solve on their feet and able to accept challenges and takes the initiative to devise solutions independently.
