Job Summary

You are a Project Coordinator License Specialist who will provide specialized support to project teams by coordinating and maintaining business and contractor licensing requirements. Working collaboratively with operations management legal risk and other internal stakeholders you will ensure licenses are obtained and renewed in a timely manner while maintaining accurate licensing records and documentation.

Your strong organizational skills attention to detail and ability to manage multiple priorities will help ensure licensing requirements are effectively managed throughout the project lifecycle.

Essential Responsibilities:

  • Administers and maintains the licensing database ensuring business and contractor licensing information is accurate current and properly documented

  • Researches licensing requirements and identifies appropriate business and contractor license applications and documentation

  • Prepares processes and submits new license applications and manages ongoing license renewals

  • Coordinates documents requiring management approval and execution including submissions through Docusign

  • Coordinates certificates of insurance and surety bonds required for contractor and business licenses

  • Works with internal stakeholders government agencies consultants and other external parties to support licensing requirements and resolve related inquiries

  • Processes licensing and contractor bond invoices coordinates payment requests with Accounts Payable and manages online licensing payments as required

  • Coordinates annual contractor license bond renewals and insurance certificate renewals with Risk Management and external partners

  • Prepares edits formats and maintains correspondence reports memoranda and other documentation related to licensing activities

  • Maintains organized and accurate records while ensuring confidentiality and professional standards are consistently upheld

Qualifications

  • 35 years of related administrative project coordination licensing or regulatory support experience or a combination of relevant education and experience

  • College trade or technical diploma preferred; bachelors degree is considered an asset

  • Strong proficiency with Microsoft Office applications including Word Excel Outlook and PowerPoint; experience with QuickBase Box and SharePoint is an asset

  • Strong analytical skills and attention to detail with the ability to review documentation and data for accuracy and completeness

  • Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines in a fast-paced environment

  • Strong written and verbal communication skills with the ability to collaborate effectively with internal and external stakeholders

  • Demonstrated professionalism sound judgment reliability and ability to handle confidential information

  • Proactive resourceful and comfortable taking initiative and learning new systems and processes

Work Conditions

  • This is a hybrid position with an expectation to work from the office two days per week

  • Primarily office-based sedentary work with regular computer use

Compensation

$48000.00 - $66000.00

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience knowledge skills education and location.
