Position Summary
The Project Administrator provides comprehensive administrative and coordination support for infrastructure or construction projects. This role involves managing project documentation supporting operational processes and ensuring efficient administrative functions across multiple teams. The position requires strong organizational skills attention to detail and the ability to work both independently and collaboratively.
Key Responsibilities
Perform a wide range of administrative duties to support project teams ensuring documentation is accurate organized and maintained in accordance with project standards.
Maintain and update project records communication logs reports and meeting documentation.
Prepare detailed meeting minutes and track follow-up actions.
Support the procurement assignment and tracking of IT equipment such as laptops mobile devices and office hardware.
Coordinate setup and troubleshooting of basic office and site technology needs.
Assist with procurement processes including creation and tracking of purchase requisitions and related documentation.
Support financial tracking activities to help maintain project costs within budget.
Manage calendars schedule appointments and organize meetings conferences and events.
Coordinate travel arrangements and logistics for project staff as required.
Maintain resource availability schedules including vacation tracking.
Support the setup and demobilization of project or site offices as needed.
Order office supplies and manage inventory for administrative and project needs.
Handle courier arrangements and document distribution.
Apply organizational policies and procedures to daily tasks while identifying opportunities to improve administrative processes.
Collaborate with multiple departments and provide administrative support across teams as required.
Assist in preparing presentations reports and organizational materials.
Qualifications and Experience
Minimum of 35 years of experience in an administrative or project support role.
Experience in construction engineering or project-based environments is considered an asset.
Proficiency with Microsoft Office applications (Word Excel Outlook PowerPoint).
Experience with enterprise resource planning (ERP) systems is an asset.
