Job Description:
Position Purpose Summary:
At The Salvation Army Mountberry Adult Day Service the Office Administrative Assistant is accountable to the Program Services Manager to provide exceptional administrative support. The primary role includes clerical and administrative duties to support program staff and facilitate client service delivery.
The Office Administrative Assistant is expected to perform all responsibilities in alignment with The Salvation Armys core values demonstrating professionalism attention to detail and a high standard of customer service.
This is a contract position beginning June 29 2026 and ending August 21 2026. The work week is Monday to Friday 7 hours per day with a one-half hour paid lunch break. Hours of work are from 8:30 am to 3:30 pm and may vary to meet program requirements. Shifts may be scheduled at either program location.
General Accountabilities:
- Provide administrative support to the Program Services Manager and team.
- Maintain accurate and organized records including client files attendance logs and reports.
- Prepare documents reports and correspondence as required.
- Manage office supplies and inventory.
- Greet and assist clients visitors and vendors professionally.
- Clerical and Organizational Support
- Maintain organized filing systems (physical and electronic).
- Support program communications by providing updates and notices to clients and families.
- Assist in data entry compiling reports and maintaining client intake documentation.
- Help coordinate logistics for program events and activities.
- Respond to inquiries from clients caregivers and external partners with professionalism and confidentiality.
- Maintain a positive and welcoming office environment.
Leadership:
- Demonstrate initiative and the ability to work independently and collaboratively.
- Uphold and promote a safe and respectful workplace.
- Perform other related administrative duties as assigned.
CONDITIONS OF EMPLOYMENT:
Submit as required a Police Record Check (vulnerable sector check) that is acceptable to The Salvation Army in its sole discretion if applicable.

EDUCATION QUALIFICATIONS AND CERTIFICATIONS:
- Proficiency in Microsoft Office (Word Excel Outlook PowerPoint).
- Administrative or office assistant training or relevant experience preferred.
- Be between 15 and 30 years of age on the start date of the job.
- Have a valid Social Insurance Number (SIN).
- Be a Canadian citizen permanent resident or a person granted refugee status in Canada.
International students and temporary residents are not eligible.

- A good listener with a genuine concern for the client/participant. Be able to offer sound advice that can meet the client/participants expectations.
- Participate in mandatory orientation training departmental staff meetings on-going professional development and training.
- Represent the organization in a positive professional and engaging manner.
- Work in compliance with the OH&S Act and Regulations and abide by The Salvation Armys health and safety policies and procedures
- Treat the property of The Salvation Army with due care and caution
- Valid Ontario Class G Drivers License or reliable transportation is required.
- Provide an original copy of a Background Check with vulnerable sector screening that is satisfactory to The Salvation Army in its sole discretion is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.

- Excellent written and verbal communications skills in English.

Compensation:
The target hiring range for this position is $17.60 to $19.85 with a maximum of $23.82.Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
