Job Summary
THE OPPORTUNITYWe have an opportunity for a New Accounts Administrator to join our award-winning firm in the Vancouver YOULL DOThis role reports to the Supervisor New Accounts and Document Management and works closely with our Investment Advisors Assistants and other departments within our Client Services operations. This role requires an on-site requirement of 5 days a week to start in the will be partnered with the Team Leads and work in a collaborative environment within the New Accounts and Document Management team. You will be responsible for providing exemplary service to clients and advisory groups by ensuring new and existing account information is complete and accurate in accordance with regulatory compliance. The successful candidate is a critical thinker with exceptional attention to detail combined with strong communication skills and solid investment industry a high volume of new and existing client account forms and update client account informationReview and reconcile client account fees in accordance with the fee model and structureProcess client account documentation with accuracy and in accordance with regulatory complianceProvide customer service and administrative support to Investment Advisors and AssistantsDeliver client service excellence by responding to inquiries accurately and in a timely mannerEnsure standard operating procedures are followed and service level agreements are met in a fast-paced service-driven environmentMaintain up-to-date knowledge of fee structure modelsIdentify opportunities to streamline processes for operational efficiencies and collaborate with team members to document new and existing processesEngage in continuous learning and development to build account administration expertise including but not limited to processing regulations and feesParticipate in cross-functional department reporting audit and review projectsCOMPETENCIESAnalysis Assess quantitative and qualitative data information or situations to understand the most important details identify patterns or meaning and translate it into useful recommendations decisions or actionsCoordination Prioritize organize and manage information people assets resources messages tasks and/or activities to achieve a goal within timelinesCustomer Service Determine needs capture relevant information apply internal policy or regulation and escalate and prioritize the requests of customers to answer inquiries fulfill transactions or resolve issuesOperational Policy and Procedures Apply knowledge of the firms procedures and processes to execute work to a high standard of consistency efficiency compliance and safetyProject Management Plan coordinate execute and oversee projects balancing time resources and scope to achieve objectives support stakeholders and meet deadlinesRegulatory Knowledge Understand and apply relevant laws regulations and standards to meet legal and ethical requirements and reduce risk for clients and the firmSystems and Application Proficiency Use maintain manage or improve specific systems or applications in our role to work effectively and efficientlyKNOWLEDGE AND EXPERIENCEMinimum of two years of investment industry experience in New Accounts Client Services Compliance or similar functionPost-secondary education in Finance Accounting or Business or a related field is an assetProven experience in serving clients in a professional services environmentExceptional attention to detail and skilled at working efficiently and accuratelyStrong organizational skills with the ability to prioritize important and time-sensitive tasksSelf-motivated with a strong work ethicStrong interpersonal and relationship-building skills with ability to work independently and collaboratively within a teamExcellent verbal and written communication skillsExperience with Broadridges Dataphile the PureFees platform or a similar bookkeeping system is an assetIntermediate proficiency in Microsoft 365 (Word Excel and Outlook)WHAT WE OFFERA culture of openness collaboration and respect is foundational to our firm.
