Manager, Scheduling Operations & Governance
Job Summary
The Manager Scheduling Operations and Governance provides strategic and operational leadership for SAITs academic scheduling functions within the Office of the Registrar. This role is responsible for overseeing scheduling operations governance and continuous improvement initiatives to ensure academic cycles are delivered efficiently consistently and with a student-centered focus.
Reporting to the Associate Registrar Systems Data & Digital Transformation the Manager leads the Scheduling and Curriculum teams supporting performance management workload planning and operational continuity. The role ensures alignment between scheduling activities enrolment planning and institutional priorities.
Key responsibilities include stewardship of SAITs scheduling ecosystem managing risks associated with compressed timelines sustaining governance frameworks and advancing technology and process improvements. The Manager collaborates closely with Academic Schools Strategic Enrolment Management ITS business analysts and vendors to deliver sustainable and effective scheduling solutions.
The role also supports curriculum-related technology and governance initiatives contributing to integrated enrolment planning and future-state registration models. Success in this position requires strong leadership systems thinking and sound judgment to build high-performing teams resolve complex issues and drive consistent resilient academic operations.
How youll contribute
- Provide leadership and oversight of academic and exam scheduling operations ensuring schedules are accurate delivered on time and aligned to registration funding and student facing deadlines.
- Coordinate sustainment and governance activities associated with the Scheduling roadmap including documentation process interrogation risk tracking and change management.
- Partner with Academic Schools SEM Records and Business Analysts to support scheduling readiness resolve dependencies and mitigate operational risk across academic cycles.
- Identify systemic issues timeline constraints or resourcing pressures and escalate risks with recommended mitigation strategies.
- Support future state scheduling models by ensuring operational requirements are clearly articulated and embedded into roadmap initiatives.
- Participate in cross portfolio and enterprise initiatives requiring scheduling expertise contributing operational insight and risk assessment.
- Support implementation activities by ensuring roles timelines and handoffs are clearly defined and operationally feasible.
- Drive curriculum related roadmap initiatives encompassed within the Integrated Enrolment Planning Operationalization & Governance initiative (IEPOG)
- In the context of IEPOG act as a liaison between Curriculum Controls Scheduling Business Analysts and academic stakeholders to support alignment and issue resolution.
- Coordinate review and rebuild activities related to Career and Program Plan (CAPP) working with Business Analysts ITS SEM and academic stakeholders as required.
- Contribute operational input to curriculum modernization initiatives without assuming ownership for academic approvals or policy decisions.
- Manage HR responsibilities including leave and vacation planning goal setting performance feedback and team building activities.
- Foster a collaborative accountable and psychologically safe team culture aligned with OTR and SDDT values.
- Support succession planning cross training and resilience during peak academic periods.
What you bring
- Bachelors degree in education administration business administration information systems or a related field
- 5-7 years progressive experience within a post secondary registrar academic operations or student systems environment
- 5-7 years supervisory experience
- Project management/coordination experience preferred
- CAPM PMP PRINCE2 Prosci Lean/Lean Six Sigma (yellow or green belt) preferred
- Strong communication skills with the ability to convey information clearly and effectively
- Excellent time management and organizational skills
- Proven ability to manage multiple and competing priorities in a fast-paced environment
- Experience working with government or regulatory bodies
- Background in scheduling (academic or non-academic) registration curriculum and/or academic systems
- Experience operating in complex environments and leading high-performing teams
