Your Role in Supporting Our Members:

As theLeadership Forums Specialist you will play a pivotal role in shaping howVancitysleaders come together to align on strategy culture and the endâtoâend planning and delivery of enterprise leadership forumsensuring each convening is purposefuldesigned with intention anddeliveredwith excellence. Working closely with senior leaders crossâfunctional partners and external vendorsyoulltranslate strategy into compelling leadership dialogue that strengthens organizational coherence and leadership effectiveness.

Werelooking for a highly organizeddetail-orientedstrategic and relationshipâdriven professional who thrives in complex environments and bringsenthusiasmvisionand purposeto event planning.This is a unique role in that itrequires both atacticalevent planning skillsetsomeone who can organize and deliver on complexlogisticsfor large eventsas well as a strategicmindsetsomeone who can translatestrategy intothoughtfully designedagendas presentations and interactive sessions.

This is aFullâtime Permanentrole based at ourVancityhead officeand will report directly to theChief of Staff to the CEO. While this position provides a hybrid work arrangement you will be expected to be onâsiteregularlyincluding forevents and business demands.

How Youll Makean Impact:

Owningand ProjectManagingLeadership Forums:

  • Owning the annual leadership forums calendarsequencingeventsobjectives audiences and agendas across Senior Leadership SummitsandLineâofâBusiness Leadership Forums(both held 3x annually) and AllâManagers Meetings(held 1x annually)
  • Leading endâtoâend project management for leadership forumsincludingbothlogisticsand contentfrom planning through delivery and postâevent followâup
  • Supporting theChief of Staffto the CEOand Sr. Executive Assistantto the CEOin theplanning anddelivery ofquarterlyExecutive Leadership Team Offsites
  • Managing budgetslogistics timelinesinvite listsrisks and dependencies across multiple concurrent events
  • Serving as day-of onsite coordinatorfor leadership forum events including creating and overseeing detailed run-of-show coordinating internal and external support staffandadjustingtiming flow or other detailsquickly and effectivelywhenrequired

CoordinatingAcross Collaborators:

  • Acting as thecentralpoint of coordination acrosskeyinternalcollaborators such as the Enterprise Strategy Executive Leadership andfacilitiesteams as well as other cross-functional collaborators and event attendees
  • Researching vettingaligning on scope of services coordinating detailed plans and servingas primary point ofcoordination amongexternalvendors including venues caterersaudio-visual décor external speakers and more

Developing and Driving Content:

  • Shaping clear cohesive agendas and session flows that translate strategy into actionable leadership dialogue
  • Developing PowerPoint presentations and materialsto be presented byexecutive leaders translating complex strategy into compelling narrativestailored for theaudience and the moment in time
  • Coordinating preâreads presentations and postâevent materials across multiple teams

Continuously Improving:

  • Establishing success measures gathering participant feedback and continuously improving forum design and execution
  • Bringing passion and vision tothe roleby constantlyinnovating and improvinguponeventstoultimately enrichand deepen the attendees experiencein ways that help build connections align teams to strategic priorities andenergizeand inspireVancityleaders

WhatYoullBring tothe Team:

  • A postâsecondary degree in business communications organizational development or a related field
  • 5 years ofprogressiveexperience in event planning executive forums programor projectmanagement or a similar role
  • Demonstrated experience leading complex multiâstakeholder initiatives from concept todelivery
  • Strong project management capabilities including budget timeline and risk management
  • Advanced PowerPoint and presentation development skills with a strong eye for narrative and visual design
  • Proven ability to work effectively with senior leaders crossâfunctional partners and external vendors

WhatYoullEarn:

This role offersasalary rangeofâ$69700to$82000per annum.The basepay offered may vary depending on factors such as relevant qualifications skillspreviousexperience and internal equity. As part of our total rewards package employees mayalso be eligible for our annual incentive program subject to program eligibility requirements.
