Fleet Coordinator
Job Summary
1. Health Safety and Security Compliance
- Support compliance with all health and safety policies related to equipment use;
- Document and report incidents equipment failures breakdowns and corrective actions;
- Promote adherence to regulatory and compliance standards across all assigned operations;
- Support the administration and monitoring of CVOR requirements for Northec;
- Assist with obtaining and maintaining a CVOR certificate for EBC.
2. Fleet and Equipment Coordination
- Coordinate the utilization of heavy equipment and fleet assets across Ontario operations for both EBC and Northec;
- Conduct regular site visits to validate equipment condition utilization and compliance;
- Support equipment availability in line with project requirements;
- Maintain an up-to-date fleet inventory including equipment condition location usage hours maintenance history registrations and insurance information;
- Coordinate the mobilization and demobilization of equipment between project sites;
- Support fleet operations associated with Highway 407 projects and related activities;
- Prepare periodic reports on fleet condition utilization operational costs and projected needs.
3. Maintenance Repairs and Monitoring
- Coordinate with project teams and superintendents regarding equipment availability for maintenance repair and inspection;
- Monitor preventive and corrective maintenance activities including major repairs in collaboration with the Quebec garage;
- Provide support to service providers performing equipment and light vehicle repairs;
- Monitor and ensure quality control of repairs completed by external service providers;
- Coordinate fleet registrations and insurance coverage for heavy equipment and light vehicles;
- Ensure compliance with annual government inspections for road vehicles construction equipment and lifting devices;
- Coordinate oil sampling activities in accordance with manufacturer guidelines and coordinate analysis with external providers;
- Transmit oil samples to Fluid Life;
- Process customer requests related to maintenance and repairs of light vehicles including account setup and invoicing;
- Order parts and coordinate with suppliers as required;
- Utilize the CMMS system (MIR-RT) to track and manage maintenance activities.
- Minimum 5 years of relevant experience in fleet coordination heavy equipment operations maintenance administration or the construction industry;
- Strong knowledge of applicable safety regulations and compliance standards;
- Working knowledge of Ontario transportation regulations and fleet compliance requirements;
- Experience with CVOR administration and regulatory compliance;
- Solid understanding of mechanical and hydraulic systems for heavy equipment;
- Ability to interpret technical reports inspection reports and maintenance records;
- Experience coordinating maintenance activities and working with external service providers;
- 310A Automotive Service Technician Licence 310T Truck and Coach Technician Licence Heavy Equipment Technician certification or equivalent mechanical experience is an asset;
- Proficiency with CMMS systems Microsoft Excel and Microsoft Office Suite;
- Valid drivers licence and willingness to travel to project sites across Ontario as required.
- Experience working within the construction civil infrastructure transportation or heavy equipment industry.
