Job Description:

POSITION PURPOSE SUMMARY:
The Coordinator Community Engagement and Volunteers Coordinator is responsible for networking and sharing information about the salvation armys programs and services. The role oversees special community engagement and fundraising events and activities as well as the annual Christmas kettle campaign. The incumbent recruits orients and trains volunteers in support of that work.

ACCOUNTABILITIES:

  • Acts as the liaison with educational institutions and volunteer bureaus to promote volunteerism within the facility and attract applicants.
  • Develops or assists with the development of policies and procedures for the program as approved by senior management.
  • Participates in the development of the departmental budget operates within the approved budget for financial control and ensures optimum utilization of resources.
  • Promotes community ministries work with congregation members by creating opportunities to develop relationships that support full integration of congregational and community ministries.
  • Oversees the annual Christmas Kettle Campaign for Cranbrook and Fernie.
  • Prepares a Kettle Campaign plan timeline budget worker schedule and final report including recommendations; monitors campaigns and implements contingency plans as required.
  • Serves as TSAs kettle liaison connecting with host location managers prior to and throughout the Campaign.
  • Recruits orients and supervises all kettle campaign employees and volunteers. Inputs hours in Ultipro where applicable to ensure timely processing of employee pay.
  • Meets with Ministry Unit (MU) leaders monthly to provide formal updates/report on Kettle Campaign plans and execution.
  • Assumes responsibility for all administrative and clerical responsibilities associated with the annual Christmas Kettle fundraising campaign ensuring that donation updates are compiled and made available ensuring supplies and inventories are maintained ensuring TSA cash-handling/deposit practices are strictly adhered to.
  • In collaboration with MU Leaders develops an annual calendar of special events creates and secures approval for event budgets and provides oversight/coordination for these events.
  • Works creatively with external parties to develop and implement additional fundraising opportunities.
  • Solicits cash and in-kind sponsorships for special events.
  • Seeks out funding and grant opportunities and processes the necessary applications and reports.
  • Gives oversight to the Volunteer Program. Works with MU Leaders to determine priority needs and develop role descriptions to enhance recruitment efforts.
  • Uses social media print and other mediums to promote volunteer opportunities both within the congregations and externally (schools community groups etc.).
  • Develops and maintains an appropriate record keeping system.
  • Recruits orients trains and deploys volunteers for kettle campaign special events and day-to-day ministry. Ensures volunteers hours are tracked effectively and reported in SAMIS and to external bodies where appropriate.
  • Performs other job-related duties as assigned.

MANAGERIAL/TECHNICAL LEADERSHIP RESPONSIBILITY:

  • Reports to Corps Officer.
  • Direct reports: Seasonal Kettle Coordinators in Cranbrook & Fernie
  • Acts as a Team Leader and Workflow Coordinator:
  • Gives oversight to multiple kettle workers during the Christmas season.
  • Oversight and provides in-scope supervision to volunteers frequently.

FINANCIAL AND MATERIALS MANAGEMENT:

  • Minor material responsibility (booklets banners etc.).
  • Handles cash of $1000 plus on a regular basis during major campaigns.
  • May do bank deposits & cash counting.
  • Little input to annual budget or revenue projections.

WORKING CONDITIONS:

  • Primarily Office environments.
  • During Kettle Campaign may include driving & pick ups in and out of store locations.
  • Some travel to the Fernie location needed.
  • Some flexible hours required to attend community groups either early morning or evening/weekends.

EDUCATION AND EXPERIENCE QUALIFICATIONS:

Education Qualifications and Certifications:

  • Completion of a formal post-secondary/college program of two academic years in a related field.
  • An alternative combination of education and experience may be considered.

Experience and Skilled Knowledge Requirements

  • A minimum of three years of prior related experience.
  • A minimum of two years of experience in one or more of the following areas: customer service fundraising coordinating events administrative assistance and database management experience.

Skills and Capabilities:

  • Support for and an understanding of mission and purpose of The Salvation Army in Canada.
  • Ability to provide an original copy of a Background Check that is satisfactory to The Salvation Army in its sole discretion is required.
  • Demonstrated record of accomplishment in annual fund development and implementation knowledge of fundraising principles and techniques.
  • Ability to work well in an extremely fast-paced ever-changing environment and manage multiple projects with competing demands while maintaining a commitment to excellence.
  • Excellent oral and written communication skills with a specific ability to create donor solicitations acknowledgements and stewardship pieces such as reports and donor profiles.
  • Exceptional interpersonal skills including the ability to form personal relationships and to communicate effectively to a variety of stakeholders (i.e. donors sponsors employees and volunteers) both verbally and in writing. Understanding and respectful of diversity in a team-oriented culture.
  • Must be a self-starter with imagination and creativity.
  • Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army in its sole discretion (i.e. The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.

Compensation:

The target hiring range for this position is $20.09 to $25.11 with a maximum of $30.13.

Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
