The Position:

The AdvancementCoordinator manages the end-to-end administrative workflow for the Advancementdepartment executing the foundational tasks that allow leadership to meetstakeholder goals. This dual-purpose role balances direct executive support forthe Executive Director with the coordination of departmental events andoperations.

As an administrativepartner to the Executive Director the Coordinator proactively optimizesleadership time manages scheduling and ensures donor relationships areseamlessly tracked. Simultaneously the role drives advancement operations bymanaging the logistics required for successful events overseeing vendorcontracts building impactful presentations and maintaining criticaloperational data to ensure efficient departmental workflows.

Specific Accountabilities:

ExecutiveDirector Support

This focus area isdesigned to optimize the EDs time and ensure donor relationships areseamlessly tracked and managed.

  • Providecomprehensive administrative backing for the Executive Director; managing acomplex and evolving calendar prioritizing meeting requests and coordinatingall travel and itinerary logistics.
  • Attendkey meetings with the ED to record notes track action items and issuefriendly reminders to stakeholders to ensure the EDs directivesand deadlines are met.
  • Actas the administrative lead for donor stewardship by entering meeting notesupdates and touchpoints directly into VeraCross immediately following EDmeetings to ensure real-time database accuracy.
  • Serveas the primary bridge between the ED and the Advancement team; ensuring theteam has the approvals or answers they need to prevent project bottlenecks andkeeping the ED informed of real-time statuses.
  • Executethe end-to-end processing of the EDs department invoices Visareconciliations and expense reports to ensure all spending is accuratelyrecorded.
  • Createhigh-quality slide decks and visual materials to support fundraisinginitiatives advancement meetings and stakeholder presentations.

Events &Operations

This focus area centerson the administrative execution of departmental activities community eventsand technical support.

  • Overseecore logistics and coordination for event prep: handle caterer contracts roombookings (FMX) floor plans and equipment rentals (linens tech furniture).
  • Coordinatethe production of invitations registration forms and RSVP tracking; managethe production of name tags signage and event supply kits.
  • Leadthe physical setup for on-campus events including the placement of signage andevent teardown ensuring a seamless experience for guests.
  • Ensureevent attendance is accurately logged in the database and all follow-updocumentation is completed.

Data & InformationManagement

  • Updateconstituent records in VeraCross; perform regular updates regardingprofessional milestones and contact information.
  • Managethe department swag inventory and stationery; coordinate officesetups for new hires; and maintain the departments shared drive.

Communication &Technical Support

  • Actas the technical lead for communications assisting with the formattingtesting and scheduling of email blasts and digital community notices.
  • Utilizebasic graphic design tools (e.g. Canva) to create simple assets for digitalcommunications event signage and menus.
  • Managegeneral department email inboxes responding to routine inquiries andredirecting complex requests to the appropriate lead.

  • Performother duties as assigned supporting the success of the Advancement program.


Qualifications Knowledge and Experience

  • Minimumthree years experience in administration coordination or event planning.
  • Experiencein advancement or fundraising is an asset.
  • Experiencein prioritizing and managing multiple priorities in a fast-paced environment.
  • Strongorganizational interpersonal and project management skills.
  • Superiorwritten and verbal communication skills with a strong customer serviceorientation.
  • Upholdrespect for all school communities by maintaining culturally-appropriateknowledge.
  • Demonstratedtact diplomacy and professionalism.
  • Strongworking knowledge of Google Workspace and Microsoft Office (especiallyproficient in Excel).
  • Experiencewith CRM databases (VeraCross) is an asset.
  • Knowledgeof basic graphic design tools (Canva) is an asset.
  • Post-gradcertificate in event management/planning or experience working in a school isan asset.
