St Francis Xavier University which offers Canadas premier undergraduate experience is seeking an Academic Services Assistant to join the Registrars Office for a full-time term position. Reporting to the Associate Registrar Admissions this person will be a member of an integrated team working in a collaborative shared work environment providing superior service to prospective and current StFX students.
- Correspond via email telephone and in person with various stakeholders (prospective students parents guidance counsellors internal contacts International Recruitment Agencies etc.) regarding StFX its programs and the admissions process.
- Receive and process admissions applications and supporting documents with a high level of efficiency and accuracy including verifying data of electronic applications entering manual applications and uploading all supporting documents (transcripts language tests and other supplemental information).
- Confirm with students the specific documentation received and the necessary documents outstanding to be submitted.
- Ensure accurate data entry for updating file information such as name address email changes program change requests etc.
- Process application change forms deferral requests and application withdrawals and correspond with appropriate StFX personnel informing them of the same.
- Completion of a post-secondary certificate or diploma in a related field (office administration business) or equivalent experience.
- Ability to complete repetitive tasks with a high degree of accuracy and attention to detail.
- Demonstrated experience and ability working in a time-sensitive and high-volume environment with changing and conflicting priorities and frequent interruptions.
- Superb customer service skills with demonstrated excellence in customer service communication.
- Proficiency working in an Office 365 environment. Familiarity and experience with student information systems (Banner) and application / CRM software (TargetX/Salesforce) are considered an asset.
- The ability to work well with others and maintain cooperative and effective working relationships in a team environment.
