Administrative Support Access to Information (ATI) Operations
Client: Government of Alberta Service Alberta and Red Tape Reduction

Duration: 12 Months (Extension up to 12 months possible)

Hours: 36.25 hours/week (MondayFriday 8:15 AM 4:30 PM MST)
Work Arrangement: 100% Onsite (5 days/week)
Job Summary
The Government of Alberta is seeking two Administrative Support professionals to provide operational and administrative support for Access to Information (ATI) requests under the Access to Information Act. The successful candidates will coordinate incoming ATI requests maintain electronic records prepare correspondence support records collection process application fees and ensure all requests are handled accurately and within legislated timelines.
Requirements
Key Responsibilities
ATI Request Administration
Monitor ATI requests received through the public portal and hard-copy submissions.
Prepare acknowledgment letters requests for additional information fee notices and closure correspondence.
Review requests to ensure completeness accuracy required documentation and fee payment.
Assign requests to ATI Advisors under the direction of the ATI Coordinator.
Maintain accurate electronic files and supporting documentation.
Records Management
Create and maintain electronic request files.
Coordinate record searches with program area representatives.
Monitor progress of record searches and follow up to meet legislated deadlines.
Issue closure letters when no responsive records exist.
Assist ATI Advisors by converting documents to PDF and uploading files for redaction.
Maintain inventories of ATI requests and shared electronic folders.
Financial Administration
Provide applicants with payment instructions and GPAS payment links.
Process application fees received by cheque money order or cash.
Prepare refund documentation when required.
Track payments and refunds in accordance with the Financial Administration Act.
Administrative Support
Respond to general inquiries regarding ATI legislation and timelines.
Distribute office correspondence.
Prepare and mail applicant packages when electronic delivery is unavailable.
Support records management activities.
Perform general office duties and cross-train with team members.
Mandatory Qualifications
High School Diploma or GED.
Minimum 2 years of experience collaborating with cross-functional teams to meet critical time-sensitive deadlines.
Minimum 2 years of experience working in a ticketing system or email-driven workflow environment.
Minimum 2 years of experience using Microsoft Outlook including:
Email management
Calendar scheduling
Task tracking
Productivity features
Preferred Qualifications
2 years of records management experience.
2 years of experience securely exchanging electronic documents between stakeholders.
2 years of relevant administrative experience in a similar role.
Required Skills
Strong organizational and time-management skills.
Excellent written and verbal communication.
High attention to detail and accuracy.
Ability to manage confidential and sensitive information.
Experience working under strict legislative deadlines.
Proficiency in Microsoft Office especially Outlook.
Ability to work independently and collaboratively.
Working Conditions
Full-time onsite position in Edmonton Alberta.
Government-issued laptop and office equipment provided.
Criminal Record Check required before starting.
