ABOUT US: Alberta Animal Rescue Crew Society (AARCS)is a registered non-profit charity located in Calgary Alberta helping over 6000 animals each year. Our mission is to rescue and rehome animals in need and provide community support programs that help people and their pets.
THE ROLE: Are you looking for a meaningful summer opportunity where you can build valuable administrative experience while making a difference for animals in need AARCS is looking for an enthusiastic organized and customer-focused Administrative Assistant Summer Student to join our team!
As the first point of contact for visitors supporters and clients youll help create a welcoming and professional experience both in person and over the phone. This role is perfect for someone who enjoys variety in their day thrives in a fast-paced environment and loves working with people while supporting an important cause.

Salary Range:$16.00 - $20.00 per hour based on experience and qualifications.

POSITION REQUIREMENTS:

Customer Service Excellence: Demonstrated ability to provide exceptional service to clients volunteers and team members ensuring all interactions are positive and helpful.
Multitasking & Prioritization: Proven capacity to manage multiple responsibilities simultaneously prioritize tasks effectively and remain calm under pressure.
Adaptability & Flexibility: Ability to quickly adapt to changing situations or tasks and a willingness to assist with a variety of administrative and operational duties as needed.
Proactive Problem-Solving: Demonstrates initiative in identifying potential issues and resolving them proactively in collaboration with appropriate stakeholders to ensure smooth daily operations.
Tech-Savvy: Comfort with learning new software and technology platforms beyond standard office applications; familiarity with point-of-sale systems and customer relationship management (CRM) software is a plus.
Compassionate & Patient: Strong interpersonal skills with an empathetic approach especially when working in an emotionally-charged setting like an animal welfare organization.
Ability to Handle Sensitive Situations: Capable of handling sensitive or emotional situations with care tact and confidentiality particularly when dealing with clients regarding animal welfare issues.
Attention to Cleanliness & Safety: Uphold cleanliness standards in reception areas with awareness of safety protocols particularly in animal care settings.
Financial Competence: Basic bookkeeping or cash-handling skills to manage transactions balance receipts and provide accurate records for financial tracking.
Initiative in Marketing Support: Assist with light marketing tasks such as helping to organize promotional materials supporting social media efforts or coordinating with vendors on merchandise for the organization.
PRINCIPLE ACCOUNTABILITIES:
Answer all incoming phone calls and return voicemails in a timely manner.
Ensure all inquiries made via phone email or walk-in are directed to the appropriate staff member.
Process payments for adoption fees merchandise sales or donations.
Coordinate appropriate handling of all incoming and outgoing mail and deliveries.
Daily reconciliation of financial transactions at the front desk.
Assist with incoming donations managing the donation bins and facilitating community engagement by touring interested potential donors through the facility and generally creating positive interactions with walk-in supporters.
Assist programs as requested with administrative tasks or walk-in tours for foster placement or adoption opportunities.
Send handwritten thank-you cards as requested and to our wishlist donors.
General upkeep and stocking of in-house merchandise.
Order office and shelter supplies as needed seeking out the current most cost-effective options.
Receive pack and ship all online orders from AARCS Shop.
Assist with other tasks as assigned.
EDUCATION/TRAINING:
High School Diploma or equivalent(or working towards it) Certificate/Diploma in Office Administration or General Administration considered an asset.
Minimum 1 year administration and/or customer service experience preferred.
Working Conditions:
Office environment within a busy animal shelter with a moderate to loud noise level.
May involve exposure to dangerous or diseased animals.
Ability to lift 40 lbs and up to 100 lbs with assistance.
Ability to sit/type for extended periods of time.
