The Opportunity

An exciting opportunity has become available for a full-time Tender Coordinator to join our team in Mackay QLD.

Reporting to the QLD Business Manager this role is responsible for the effective coordination and administration of tender activities across the Queensland business. You will work closely with the Business Manager and Tender Team to manage tender documentation coordinate submissions maintain compliance requirements and support the successful delivery of bids and proposals.

This position is ideally suited to a highly organised and motivated professional who enjoys working to deadlines managing competing priorities and producing polished professional documentation.

Key Responsibilities

As the Tender Coordinator your responsibilities will include:

  • Coordinating and managing the end-to-end tender submission process.
  • Monitoring and managing the tenders inbox and tender registers.
  • Maintaining tender documentation records and correspondence.
  • Preparing and submitting tender responses within required deadlines.
  • Developing and coordinating non-price criteria responses and returnable schedules.
  • Liaising with internal stakeholders to gather information and ensure tender compliance.
  • Coordinating tender review meetings and submission activities.
  • Formatting proofreading and editing proposal documents to ensure a high standard of presentation.
  • Ensuring submissions comply with customer requirements and company branding standards.
  • Supporting the Business Manager and Tender Team with administrative tasks and tender activities.
  • Providing project handover documentation and supporting information to operational teams.
  • Assisting with general administration duties as required.
  • Maintaining professional communication with customers and stakeholders.
  • Ensuring compliance with company policies procedures and WHS requirements.

About You

To be successful in this role you will possess:

  • Minimum 2 years experience in a similar Tender Coordinator Bid Coordinator or Administration role.
  • Year 12 Certificate or equivalent qualifications in Business Administration or a related discipline.
  • Previous experience coordinating bids and tenders preferably within construction engineering manufacturing or contracting environments.
  • Strong administration document control and customer service experience.
  • Excellent written communication proofreading and document formatting skills.
  • Advanced Microsoft Office skills.
  • Experience working with SharePoint Pronto or CRM systems (highly regarded).
  • Exceptional organisational and time management skills.
  • Strong attention to detail and commitment to quality.
  • Ability to multitask prioritise workloads and meet strict submission deadlines.
  • A proactive approach with strong initiative and problem-solving abilities.
  • Commitment to workplace safety and continuous improvement.
