An excellent opportunity has become available for a confident and detail-orientated full time Portfolio Assistant to join our growing Body Corporate company based at our Bowen Hills office.
The Portfolio Assistant works closely with their Body Corporate Manager to prioritise workload and assist with the day-to-day administration of a portfolio of Body Corporate schemes.
The Duties
Your duties may include but not limited to:
- Draft and distribute meeting notices for Annual General Meetings Committee Meetings and Voting Outside of Committee Meetings
- Review and action nominations for Committee roles
- Review and action the submission of Lot Owners motions
- Assist the Body Corporate Manager with compiling information for meeting packs and reports to conduct meetings
- Draft and distribute minutes of meetings and complete action items from those meetings
- Manage document storage and information portals to ensure that Body Corporate records are updated and maintained as per the legislation
- Ensure Administration Agreements are prepared and sent to designated person for signing
- Review and action general Body Corporate enquiries
- Assisting clients via telephone and email
- Gain a working knowledge of the Body Corporate and Community Management legislation so that you can assist clients with the correct Body Corporate advice
- Taking phone calls and messages in the absence of the Body Corporate Manager
The Ideal Candidate
To be successful in this role you will:
- Have Real Estate/Body Corporate experience or similar highly transferable skill set from another administration role
- Have professional & friendly interpersonal skills
- Be detail orientated with great time management skills
- Good organisational skills and high attention to detail
- Have confidence answering incoming phone calls
- Be able to work autonomously and as part of a team
- Have proficient computer skills
- An immediate start is preferred
*** experience using Stratamax software is highly favourable
