JOB DESCRIPTION
We are seeking a highlyorganised proactive and customer-focused professional to coordinate andsupport the delivery of Councils internal and external planning panels and Pre-DevelopmentApplication lodgement meetings processes.
As a key point of contact onbehalf of Council you will be responsible for the end-to-end coordinationof panel sessions including the Liverpool Design Excellence Panel (DEP)Liverpool Local Planning Panel (LPP) and Sydney Western City Planning Panel(SWCPP). The role will regularly require attendance and coordination ofmeetings outside standard working hours and will work closely with panelmembers Council staff applicants industry professionals and communitystakeholders.
Key responsibilities
In this role you will:
- Coordinate arrange and oversee panel sessions from end to end including coordinating panel members managing meeting invitations preparing agendas minute taking and completing post-meeting actions.
- Coordinate and oversee Pre-Development Application lodgement meetings ensuring all associated tasks are completed efficiently and within required timeframes.
- Manage the Pre-Development Application inbox allocate applications and coordinate the scheduling of meetings.
- Manage requests for information from panel members ensuring responses are timely accurate and consistent with relevant Council policies and procedures.
- Provide sound administrative and procedural advice to support the effective delivery of panel sessions including meeting requirements appointments documentation and session preparation.
- Build and maintain effective relationships with a broad range of stakeholders including panel and committee members architects developers industry experts community representatives and Council staff.
- Identify and implement opportunities to continuously improve the efficiency effectiveness and overall coordination of panel processes.
- Create purchase requisitions and process purchase orders in accordance with Council procedures.
- Provide timely accurate and high-quality word processing data entry and document preparation in accordance with appropriate administrative standards.
- Maintain effective administrative information management and record-keeping systems and procedures to support the Development Assessment Department.
- Ensure panel and meeting administration is delivered professionally efficiently and with a high level of attention to detail.
ABOUT YOU
You will be a highly organisedand confident administrator who can manage multiple priorities coordinatecomplex meeting arrangements and communicate effectively with a diverse rangeof stakeholders.
You will demonstrate strong attention to detail excellentwritten and verbal communication skills sound judgement and the ability towork independently while supporting a busy development assessment environment.
Experience coordinatingcommittees panels meetings or similar governance processes particularlywithin a local government or planning environment will be highly regarded.
