About this role

As our Office Services Coordinator you will be responsible for the day-to-day delivery of office services across all internal and external functions and events in our Brisbane office. This includes all internal training and service line / firmwide meetings as well as external workshops or events. Reporting to the Office Services Manager this role ensures efficient operations consistent service standards and effective team coordination to support staff and client needs.

This is a hands-on and highly visible role that suits someone who enjoys creating seamless experiences building strong stakeholder relationships and keeping operations running efficiently. Youll work closely with Partners Executive and Team Assistants Office Services team members and external suppliers to support a dynamic and professional workplace.

Please note this is a full-time fully office-based role working 37.5 hours per week with some flexibility required where necessary to support with out-of-hours events.

Key responsibilities

  • Coordinate setup and professional delivery of a variety of meetings training workshops and other activities and events across the firms Brisbane office

  • Manage bookings setup and presentation of function rooms and shared spaces

  • Ensure visitor processes and office access protocols are followed

  • Liaise with vendors and support processing of invoices requisitions and vendor tracking

  • Coordinate catering and event logistics with internal and external stakeholders

  • Document management and administration including support with onboarding / offboarding reporting office archiving and other administrative tasks as required

  • Back of house administration including office archiving and general duties

  • Support of front-of-house roles as needed

  • Promote and ensure adherence to workplace safety and compliance requirements contributing to continuous improvement activities

  • Provide operational leadership during manager absences and act as a key contact to ensure continuity of service delivery

Skills and experience

  • Previous experience in hospitality food and beverage office services and / or administration

  • Excellent communication and interpersonal skills with the ability to collaborate effectively across different stakeholders levels and teams

  • Adaptable and flexible with strong organisational and problem-solving skills including experience coordinating multiple priorities in a fast-paced environment

  • Ability to attend the office 5 days a week with flexibility outside of standard office hours (within a 37.5 hour work week) for events as required

  • Responsible Service of Alcohol (RSA) certification essential; Work Health and Safety (WHV) and / or First Aid certification(s) highly regarded
