Executive Support Officer

In this role youll:
Proactively manage complex executive diaries balancing competing priorities optimising schedules and ensuring leaders are well prepared for meetings and key engagements.
Coordinate meeting logistics including agendas papers and pre-reading materials to support informed decision-making and effective outcomes.
Manage executive correspondence and executive inboxes monitoring priorities triaging requests and ensuring timely responses actions and decisions.
Monitor and coordinate the timely completion of actions commitments and deliverables arising from meetings correspondence and business priorities.
Anticipate executive support requirements and identify opportunities to improve administrative processes efficiency and service delivery.
Coordinate financial and operational administration including travel procurement budget monitoring records management and compliance activities.
Support business planning project coordination risk management and continuous improvement initiatives.
Identify prioritise and manage critical issues ensuring timely escalation and resolution while maintaining confidentiality and professionalism.
Come together in person for activities such as branch all-in days training sessions planning workshops and collaborative work.
As an Executive Support Officer you will be the trusted partner supporting the Deputy Secretary to keep them organised informed and prepared. You will proactively manage a complex diary coordinate meeting preparation and logistics and manage inboxes by triaging correspondence prioritising competing demands and ensuring critical matters are progressed and decisions are actioned in a timely manner.

About you
Demonstrated experience providing high-level executive support within a fast-paced complex and stakeholder-focused environment.
Strong written and verbal communication skills with the ability to produce executive-quality reports briefings and presentations.
Proven ability to manage competing priorities exercise sound judgement and act as a trusted partner to senior executives by anticipating needs identifying risks and supporting informed decision-making while handling sensitive information with discretion.
Strong stakeholder management and relationship-building skills with the ability to collaborate effectively across all organisational levels.
Proficiency in Microsoft 365 applications and experience using corporate systems such as HR procurement and records management platforms.
Understanding of governance and government operating environments with the ability to meet required security and compliance clearances.
