VACCHO is the peak representative for the health and wellbeing of Aboriginal and Torres Strait Islander people in Victoria.
We have 35 member Aboriginal Community Controlled Organisations providing support to over 78000 Aboriginal and Torres Strait Islander people across the state. About the role
We are looking for a highly organised people person who can hit the ground running as an executive assistant to assist the executive directors prioritise their time and prepare for their meetings days and weeks.
You will be a great fit for this role if you are hard-working focused process driven but can also be flexible. It will be critical to respond swiftly but calmy to a frequently changing environment. You will need to be adept at gracefully saying no if need be and negotiating priorities amongst the team.
This role will have a range of responsibilities as set out in the PD and at times will be required to support Unit high priority projects assisting at events administration & other activities.
The Executive Assistant is a high performing operator who provides timely proactive and responsive support to two of VACCHOs Executive Directors. These are:
- Executive Director - Population Health
- Executive Director - Policy Advocacy and Communications
The role is responsible for diary management support to prepare for meetings correspondence with external stakeholders prioritising and responding to meeting requests and event invitations and liaising with the operations team around travel and accommodation. The role involves representing VACCHOs executive team respectfully and professionally including through the timely and efficient organising of meetings workshops and other engagements. The executive assistant will play a critical role in preparing the Executive Directors for their days and weeks by ensuring meeting papers are accessible to them briefs prepared and so on.
Essential skills/experiences
- Previous experience as an Executive Assistant.
- Ability to manage multiple diaries and travel arrangements effectively and proactively.
- Experience managing or maintaining an effective records system for information documentation and correspondence both electronic and hard copy
- Sound stakeholder engagement skills both internal and external.
- Strong verbal and written communication skills with strong attention to detail
- Demonstrated proficiency and experience using Microsoft applications (e.g. Microsoft Word Excel Outlook Project Management) combined with a high level of accuracy and attention to detail.
Desirable
- Experience working in Government or the ACCO sector
