Job Summary

We are seeking individuals with a background in Administration or Reception to work Part Time (4 days per week Mon - Thurs) on a fixed term contract until 24 June 2027 within the Occupational Rehabilitation sector based 100% in our Sydney CBD Office.

In this role you will be the first point of contact for clients customers and visitors delivering exceptional customer service while managing a broad range of administrative and office coordination responsibilities.

  • Welcoming and assisting clients and visitors at a reception desk;
  • Managing high-volume telephone email and general enquiries with professionalism and efficiency.;
  • Maintaining accurate client records and case documentation within internal systems
  • Accurate data entry into IPARs client database system;
  • Assisting with mailing/postage of letters and small parcels;
  • Managing stock levels of office supplies and completing online orders as necessary;
  • Provide excellent customer service to colleagues clients and customers;
  • Keep the reception areas clean and tidy;
  • Ensuring compliance with quality safety and regulatory requirements.
  • Contributing to continuous improvement initiatives and maintaining a positive team culture

Prior administration experience working within the medical or health industry would be highly regarded but not essential if the above skills criteria can be demonstrated.


Qualifications :

We are looking for someone who is organised proactive and adaptable with excellent communication skills and a strong commitment to customer service and a friendly and helpful telephone manner and a positive approach to work. You are comfortable managing competing priorities maintaining confidentiality and working collaboratively within a fast-paced environment.

You will also have: 

  • Cert III in Business Administration or similar is desirable but not essential.
  • Strong administration and business support experience with the ability to manage competing priorities efficiently.
  • Excellent customer service communication and stakeholder engagement skills.
  • Highly organised detail-oriented and able to maintain confidentiality and professionalism.
  • Proactive and adaptable with strong problem-solving skills and a willingness to learn.
  • Ability to treat all sensitive information with professionalism and confidentially;
  • Ability and flexibility to adapt to changes;
  • Professional appearance and demeanour;
  • Demonstrated initiative and openness to learn.
  • Working knowledge of the Microsoft Office suite.
