ABOUT THE ROLE
Reporting to the Auction Services Manager the Auction Services Coordinator owns the coordination of assigned vendor BDM and auction workflows across the full auction lifecycle from onboarding and sale readiness through to post-sale administration and financial workflow follow-up. Youll turn instructions into clear actions keep stock and sale activity visible and follow issues through to resolution.
Youll be the practical local coordination point between Sales Operations Finance Customer Service and offshore support working within SAMOS and our national processes to make sure sale-critical information is complete owners and due dates are clear and blockers are escalated early.
This is a full-time role working 5 days a week based at our Pooraka South Australia site.
Daily responsibilities include:
- Coordinate assigned vendor and BDM workflows from onboarding through sale and post-sale completion
- Confirm sale readiness vendor linkage approved reserves GST treatment listing information and required documentation
- Coordinate live sale updates asset removals post-sale reporting and vendor site packs
- Act as the local coordination point between Sales Operations Finance Customer Service and offshore support
- Coordinate post-sale financial workflow steps including receipting follow-up refund information gathering and purchase orders
- Maintain accurate SAMOS records and use reporting to prioritise work and flag emerging risks
- Escalate missing instructions blockers or matters requiring a commercial or financial decision rather than making assumptions
ABOUT YOU
You are a natural organiser who thrives in a busy process-driven environment calm under pressure across the detail and quick to escalate when something isnt right.
You will bring:
- 3-4 years experience in administration coordination shared services auction support or a comparable operational support role
- Experience coordinating high-volume workflows with multiple internal and external stakeholders
- Experience using SAMOS or a comparable auction or operational management system is preferred
- Working knowledge of vendor support sale readiness compliance checks financial administration and post-sale workflows
- Strong system capability attention to detail and the ability to manage competing priorities with sound judgement
- Clear practical communication skills and a collaborative service-oriented approach
