About the Job

We are seeking an Administrative Assistant to support our Projects Team in Geelong Australia. This role provides administrative reporting mobilisation and document-control support to help ensure projects are delivered safely efficiently and in compliance with company requirements.

What Youll Do

  • Provide day-to-day administrative support to project teams including project setup close-out archiving reporting and team communications.
  • Coordinate personnel mobilisation and demobilisation activities including onboarding site access inductions systems access resource tracking and new starter communications.
  • Support health safety and compliance activities through monitoring safety actions MOC registers training compliance incident reporting and safety meetings.
  • Prepare and maintain project reports KPIs schedules resource forecasts dashboards databases pivot tables and performance data.
  • Assist with document control technical records management drawing transfers filing metadata administration and record retention.
  • Coordinate project meetings preparing agendas issuing invitations tracking actions and maintaining action registers.
  • Support team engagement initiatives project updates internal communications and milestone recognition activities.
